Position Summary
Austin Catholic High School in Chesterfield, MI, is seeking a Part-Time Advancement Coordinator. This position will average 20-25 per week.
The Advancement Coordinator serves a vital role in supporting the mission of Austin through donor relations, fundraising support, and administrative support to the President's Office. This position is responsible for managing donor records, coordinating communications with alumni, parents, benefactors, and friends of the school, and assisting with advancement initiatives that strengthen philanthropic support and community engagement. The Advancement Coordinator serves as a welcoming ambassador for the school and helps ensure the success of advancement, fundraising, and enrollment efforts.
Essential Duties and Responsibilities
Advancement and Donor Relations
  • Support advancement activities through phone calls, personal visits, email communications, and other donor outreach efforts.
  • Assist in cultivating and stewarding relationships with alumni, parents, benefactors, parish communities, and friends of the school.
  • Coordinate donor acknowledgments, including timely preparation and distribution of thank-you letters and other recognition materials.
  • Assist with annual giving campaigns, donor appeals, and stewardship initiatives.
  • Help plan and execute fundraising events and advancement programs.

Database Management and Reporting
  • Maintain and manage the school's donor database, ensuring accurate and up-to-date constituent records.
  • Enter and track gifts, pledges, donor interactions, and other advancement activities.
  • Generate reports, mailing lists, donor summaries, and fundraising metrics as requested.
  • Ensure confidentiality and proper handling of donor and constituent information.

Administrative Support to the President's Office
  • Provide administrative support to the President, including mailings and administrative duties as assigned.
  • Assist with special projects, presentations, and communications originating from the President's Office.
  • Coordinate volunteer management.

Fundraising and Enrollment Support
  • Assist with all fundraising initiatives, campaigns, and events as needed.
  • Support enrollment and admissions efforts through outreach, event coordination, and administrative assistance.
  • Collaborate with school leadership, advancement staff, and admissions personnel to achieve fundraising and enrollment goals.

Qualifications
  • Bachelor's degree preferred; equivalent education and experience will be considered.
  • Minimum of 2 years of experience in advancement, development, fundraising, administrative support, admissions, or a related field preferred.
  • Experience working with donor management or constituent relationship management (CRM) databases preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and database management systems.
  • Commitment to the mission, values, and teachings of the Catholic Church and Catholic education.

Work Environment
This position operates in a professional school office environment and may require occasional evening or weekend attendance at fundraising, enrollment, alumni, or school events.
