Job description

Summary:
The Convention Conference Assistant serves as a key liaison between meeting planners, convention groups, catering clients, hotel departments, and in-house guests to ensure the successful execution of meetings, conferences, special events, and group functions. This role provides daily operational and administrative support to all convention, conference, and catering groups, with a strong focus on delivering exceptional guest service and creating a seamless event experience from arrival through departure.
The Convention Conference Assistant proactively responds to guest and client inquiries, coordinates requests with internal departments, and assists with event logistics to ensure all group needs are met accurately and efficiently.
Responsibilities:
  • Presents a friendly attitude, excellent listening abilities, and pleasant body posture always, and is knowledgeable and helpful in assisting guests.
  • Available for flexible scheduling.
  • Obtains and maintains all appropriate information in an organized and neat binder with tabs as appropriate.
  • Responsible for understanding all resume information on in-house groups and having information readily accessible.
  • Responsible for maintaining a logbook of service requests/recovery as well as all associated follow-up with hotel departments and guests.
  • Provide a daily report to the Director of Convention Services of any guest service issues and include a copy of the logbook.
  • Provide information on guest services as well as meeting rooms' benefits and features, i.e., wireless Internet, Business Center, Presentation services.
  • Communicate all necessary information to the hotel departments in a timely and accurate manner.
  • Be aware of the hotel location in relation to all attractions and provide printed directions if requested.
  • Encourage and promote reservations and visits to hotel outlets by being aware of and recommending "favorite or popular" menu items or offerings, suggestive selling, and creating demand.
  • Provide information on resort health club and spa, & recreation facilities, and all golf facilities, including the Brad Brewer Golf Academy.
  • Be aware of hotel fire safety and fire escapes, and procedures.
  • Review lights in pre-functions. No business, call engineering to turn them off; vice versa when there is a lot of activity, and they are not on.
  • Review lights in function rooms to ensure they are in working order. Turn off when not in use.
  • Review HVAC in function rooms to ensure optimal temperature and energy efficiency when not in use.
  • Maintain pre-function furniture so the area looks orderly and proper.
  • Serves as a resource/advocate for all meeting planners and in-house guests and will be equipped with current means of hotel communication.
  • Directs guests to their designated meeting rooms, providing directional assistance and requested information to guests in person.
  • Daily Essential Duties as outlined in the training module.
  • Comply with the company's drug-free and tobacco/nicotine-free policy.
  • All other duties as assigned.

Experience/Qualifications:
  • Minimum 6+ months of previous hospitality experience required.
  • Must be very personable and outgoing, able to communicate effectively, and extremely patient as they will deal with a variety of personalities daily.
  • Must be honest and respectful to internal (hotel) and external (clients) customers.
  • Ability to lift to 25 lbs. consistently and 50 lbs. infrequently
  • Must be able to legally work in the USA.

Education and Certification(s)/License(s):
  • Bachelor's degree in Event Management, Hospitality Management, or related field preferred.
