Job description

The Opportunity

We are seeking an experienced Sales Estimator for the Controls Department. Must be detail and customer service oriented and have excellent organizational skills.  Position requires a high level of correspondence with Service sales team and with customers & vendors. Must be strong in Microsoft applications and be able to work well with others in a fast-paced & high-volume environment.   

Responsibilities

  • Plan and Spec work:
    • Receive plans and specifications (plan and spec) from the Engineering Sales team via the Controls & Aftermarket Sales Manager
    • Review and mark-up plan and spec to determine controls system requirements for new construction and/or retrofit projects
    • Provide turnkey proposal for plan and spec projects to Controls & Aftermarket Sales Manager for review and submission to Engineering Sales team
  • Existing building work:
    • Receive site visit information from Controls Sales team for existing buildings, discuss Customer needs and Sales opportunity
    • Provide turnkey proposal to Controls & Aftermarket Sales Manager for review and submission to Customer
  • Receive field service reports, determine service(s) required and/or recommended, discuss with Controls Sales team:
    • Controls replacements and repairs
    • Preventive Maintenance (PM) Agreements
  • Prepare estimates and proposals based upon field service reports:
    • Controls replacements and/or repairs
    • PM Agreements
    • Additional services recommended and/or performed at like sites:
      • Programming updates, graphics updates, sequence of operations updates, etc.
  • Data entry for proposed projects, repairs, and/or PM agreements into CRM (Linx, etc.)
  • Track sent proposals and follow-up with Equipment Sales and Controls Sales on a consistent basis
  • Booking of sold proposals and/or PM Agreements to Controls Department including turnover meetings and discussions with Controls Sales, Controls Management, and/or Controls & Aftermarket Sales Manager
  • Track repair parts / equipment status and update Controls Sales, Controls Management, Controls Service, and Customer
  • Weekly update to Controls Sales to update weekly proposed, sold, and booked projects and PM agreements
  • Track active, expiring, and expired PM agreements and send proposals for renewal 60-90 days prior to expiration of existing contract
    • Requires discussion with Controls Sales for additional services, pricing levels, scope verification
    • Requires verification of existing agreement performance with Controls Sales, Controls Management, and Controls Dispatchers
  • Maintaining job files for Controls Sales, Controls Management, and Customers
  • Active member of the Controls Team. Support training and event planning, promotional items and branding
  • Responsible for clerical and administrative support including faxing, copying and data entry for Controls Sales Team
  • Takes calls from customers and works to answer questions, resolve issues or take messages
  • Responsible for generating, interpreting and printing various assigned reports
  • Maintain expense reports and utilizing vendor & manufacturer discounts
  • Ability to multi-task, prioritize and strong organizational skills are essential
  • Experienced in customer service, enjoy working both independently and in a fast-paced sales team environment
  • Performs other duties as assigned
  • Flexibility to work weekends, as required

The Required Profile

  • Associate's degree in business or related field and 3 years of Administrative Assistance experience; or 5 years of administrative experience
  • Strong computer skills in MS 365 to include Word, Excel, PowerPoint, and Outlook
  • HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.

Environmental Requirements
Will be required to work in an office environment and possibly, occasionally in the field.

Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
