Job description

As the Contracts & Legal Administrator, you will provide operational and administrative support to in-house attorneys on a variety of legal matters. This role is responsible for managing the end-to-end contract lifecycle and supporting a team of in-house counsel in the review, negotiation, execution, and ongoing administration of contracts across the organization.
You will serve as a central point of coordination between Legal, Procurement, Finance, Sales, HR, and other business stakeholders to ensure contracts are processed accurately, stored systematically, and aligned with company policies and risk tolerance.
What You Will Do:
  • Manage the full contract lifecycle including intake, routing, review coordination, redlining support, execution, and post-execution filing for all contract types including NDAs, vendor agreements, licensing agreements, service agreements, Statements of Work, amendments, and renewals.
  • Maintain and continuously improve contract management systems ensuring all contracts, amendments, correspondence, payment schedules, and supporting documentation are organized, version-controlled, and readily accessible.
  • Track contract milestones, expiration dates, renewal windows, and contractual obligations, proactively alerting stakeholders to upcoming deadlines.
  • Assist with maintaining license agreement deadlines and compliance requirements, including factory onboarding documentation and license termination processes.
  • Serve as the primary liaison between in-house counsel and internal business teams, including Procurement, Finance, HR, and Sales, to facilitate timely contract review, approval, and execution.
  • Assist in the design, documentation, and continuous improvement of contract review and approval workflows, routing matrices, and service-level expectations.
  • Ensure contract terms, conditions, and status updates are maintained accurately in applicable systems.
  • Obtain and track required approvals in accordance with company authorization policies.
  • Support legal and business requests by locating, organizing, and producing contract documentation as needed.
  • Identify and flag contractual risks, non-standard terms, and potential compliance issues for review by in-house counsel.
  • Assist attorneys with legal research related to business and commercial contracts.
  • Ensure contracts are executed in accordance with applicable legal requirements and internal governance standards.
  • Support audits, litigation holds, and compliance requests by locating and organizing contract-related documentation.
  • Provide administrative and operational support to in-house attorneys, including drafting routine correspondence, coordinating meetings, preparing contract summaries, and supporting special legal projects.
  • Prepare and maintain contract templates, clause libraries, and legal playbooks.
  • Administer DocuSign, Adobe Sign, or equivalent e-signature platforms, including document routing and execution tracking.
  • Support vendor and customer onboarding by coordinating required documentation such as W-9s, certificates of insurance, and NDAs.
  • Manage the legal invoice approval process and ensure invoices are processed and paid timely.
  • Coordinate directly with insurance brokers and agents to obtain and maintain certificates of insurance.

What We Are Looking For:
  • Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, Accounting, Economics, or related field is a plus.
  • 3+ years of experience in contracts administration, legal operations, or a paralegal role with significant contract management responsibilities.
  • Experience supporting a legal department or in-house counsel team strongly preferred.
  • Experience with Microsoft Office, Google Workspace, and contract management software such as Ironclad, ContractWorks, Conga, Coupa, Smartsheet, DocuSign, Adobe Sign, or similar platforms preferred.
  • Advanced proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with Adobe Acrobat, DocuSign, Adobe Sign, billing systems, and contract lifecycle management software.
  • Strong understanding of legal terminology and commercial contract concepts, including:

  • Ability to read, interpret, and summarize complex contractual language.
  • Exceptional attention to detail and accuracy.

  • Strong analytical, problem-solving, and critical-thinking abilities.
  • Ability to exercise sound judgment and appropriately escalate legal concerns.
  • High level of discretion and professionalism when handling confidential information.
  • Ability to work independently in a fast-paced environment.

Certifications
  • Paralegal Certification (NALA, NFPA, or equivalent) preferred.
  • Contract Management Certification (CCCM, CPCM, NCMA, or similar) preferred.

Preferred Qualifications
  • Fluency in English required; Spanish fluency preferred.
  • Experience supporting multi-entity or multi-brand organizations.
  • Experience with licensing agreements, vendor contracts, or consumer products agreements.
  • Experience managing NDA and vendor intake processes from initiation through execution.
