Job description

We are seeking an experienced Legal Secretary with 5 to 10 years of relevant experience to support our legal and asset management operations across a mixed portfolio of commercial and residential assets. This role requires a highly organized professional who is detail driven, confident managing leasing documentation, and capable of handling both legal and administrative responsibilities in a fast-paced environment.
Key Responsibilities

Leasing and Contracts

  • Draft, revise, and format commercial leases, residential tenancy agreements, amendments, renewals, notices, and related correspondence
  • Assist in the preparation and review of service contracts, vendor agreements, and other legal documentation
  • Track and monitor critical dates including lease expiries, renewals, rent escalations, and notice deadlines
  • Coordinate execution of agreements and maintain proper documentation records
  • Prepare summaries and abstracts of lease terms
  • Liaise with tenants, brokers, external counsel, and internal stakeholders
File and Document Management

  • Maintain organized electronic and physical lease and contract files
  • Manage document control and version tracking
  • Assist with due diligence materials for acquisitions, financings, or refinancing
  • Prepare closing binders and maintain contract databases
Administrative Support

  • Manage calendars, schedule meetings, and coordinate transaction timelines
  • Prepare correspondence, reports, and internal memoranda
  • Support general office administration related to leasing and legal matters
  • Assist with invoice tracking for legal and professional services
  • Provide back up administrative support to senior management when required
Qualifications

  • 5 to 10 years of experience as a Legal Secretary or Legal Assistant, with direct experience in commercial and residential leasing
  • Strong background in construction contracting
  • Strong understanding of lease structures, contract terminology, and documentation procedures
  • Advanced proficiency in Microsoft Word and Excel
  • Experience with document management systems
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple files and deadlines simultaneously
  • Strong written and verbal communication skills
  • Discretion and professionalism in handling confidential information
Preferred Experience

  • Experience working with commercial retail, office, or multi residential properties
  • Familiarity with lease tracking and abstraction systems
  • Experience supporting in house legal or ownership teams
Compensation
