Job description

Eland Engineering, a GAI Consultants company, is looking for a Utility Coordinator/Administrative Assistant to work out of our West Palm Beach, FL office location. The successful candidate will have had at least 2 years of related experience and the minimum requirement of a high school diploma from an accredited high school.
Essential Duties and Responsibilities include:
  • Supplies administrative support services to the Maintenance staff and assumes the role as an administrative liaison with internal and/or external sources.
  • Performs routine office or clerical support tasks according to well established.
  • procedures. Examples of work performed may include sorting and distributing, mail,
  • photocopying, filing, posting or proofing data, or answering telephone calls
  • and recorded messages.
  • Work performed may also include composing routine correspondence, preparing routine reports, scheduling meetings or appointments, screening and directing incoming calls, providing information, maintaining files, or transcribing dictation.
  • Prepares documents using Microsoft applications; formats, proofs, edits for errors.
  • Assist Project Supervisor on the data entry of the inventory tracking database.
  • All other tasks assigned by the Department.
  • Perform regular visits to all ITS storage locations under this Contract;
  • Monitor stock level at all storage locations
  • Ensure all storage locations are well kept and organized
  • Be responsible for ITS inventory in MIMS
  • Support the Contractor's Project Manager, Lead Operations Supervisor and technicians with inventory and warehouse duties including but not limited to spare parts inventory, MIMS ID/barcode assignment, parts procurement, parts tracking and replenishing, Return Material/Merchandise Authorization (RMA) processing.
  • Perform other tasks assigned by the Department.

Experience required:
  • Two (2) years of experience in a position of similar requirements or equivalents.
  • Understanding of office principles.
  • Good interpersonal and telephone skills.
  • Communicate in English clearly and concisely, both orally and in writing.
  • High level of skill in the use of all Windows based applications.
  • Ability to write meeting minutes and file all materials based on ISO 9001
  • standards.
  • Ability to coordinate real time activities and priorities.
  • Proficiency of all office-related equipment.
  • Prepares documents using Microsoft applications; formats, proofs, edits for errors.
  • Maintain a valid driver's license.

Education required:
  • High school diploma from an accredited high school. Technical coursework in related fields is preferred.

Reports to:
  • ITS Maintenance Supervisor
