Job description

We are seeking a Project Coordinator to support the Procurement Department at the Virginia Retirement System (VRS). This role manages the procurement intake pipeline, tracks project milestones using SharePoint, coordinates vendor and internal stakeholder communications, and optimizes departmental workflows.

  • Location: Richmond, VA 23219
  • Work Arrangement: Hybrid (Onsite Tuesday, Wednesday, Thursday; WFH Monday & Friday)
  • Role Type: Contract (12-Month Estimated Duration)
  • Interview: Webcam or In-Person

Key Responsibilities

  • Procurement Intake Management: Review, prioritize, and route incoming procurement requests to designated staff in coordination with the Procurement Director.
  • Project Tracking & SharePoint: Design, build, and maintain SharePoint tracking tools to monitor project statuses, deadlines, dependencies, and risks.
  • Stakeholder Communication: Serve as the central liaison between internal business units, procurement specialists, and external suppliers to deliver status updates and follow-ups.
  • Operations & Documentation: Schedule governance meetings, document decisions, track action items, and establish tools to enhance process visibility and accountability.

Required Skills & Qualifications

  • Procurement Project Coordination: 3+ years coordinating procurement projects, process workflows, or business operations from intake through execution.
  • SharePoint Solutions: 3+ years utilizing and configuring SharePoint tools to manage project status, tracking, and information architecture.
  • Intake & Pipeline Routing: 3+ years reviewing, prioritizing, and assigning project requests in collaboration with leadership.
  • Stakeholder Liaison: 3+ years serving as a primary point of contact for internal stakeholders and external vendors.
  • Process Improvement & Detail: 3+ years establishing operational tracking tools, maintaining strong attention to detail, and managing risks/dependencies.
