Key Account Manager & Inventory Specialist


Location: Downtown Boca Raton, Florida
Position Type: Full-time


Role overview

The Key Account Manager & Inventory Specialist is responsible for end‐to‐end coordination of customer orders and inventory for both private‐label/contract manufacturing clients and in‐house brands. This role ensures that purchase orders, production timelines, inventory levels, and customer communications are tightly aligned so orders ship accurately and on schedule.


Core responsibilities

  • Issue and track production/purchase orders (POs) for all key accounts and internal brands, ensuring accuracy and timely approvals.
  • Reconcile open customer POs against the production queue and manufacturing timelines to confirm that every order is accounted for and on track from placement through completion.
  • Prepare and send customer invoices, coordinating closely with the Finance team to support accounts receivable and follow‐up on outstanding balances as needed.
  • Monitor and manage all communications with private label and contract manufacturing customers, acting as the main operational point of contact.
  • Provide regular, clear order status updates (ETAs, production progress, shipping details) for all private label and contract manufacturing customers.
  • Oversee inventory management for all in‐house brand products, including:
    • Tracking open production orders, their due dates, and ETAs.
    • Reconciling production against current inventory levels.
    • Flagging and prioritizing SKUs based on demand, lead time, and customer commitments.
  • Compile monthly billing for 3PL customers using our warehouse services:
    • Collect usage and activity data with the help of warehouse staff.
    • Build accurate billing reports in Excel.
    • Translate and enter billing data into QuickBooks Online (QBO).
  • Support special projects related to process improvement, inventory optimization, and key account operations, including the use of AI tools to streamline workflows.
  • Perform other related administrative and coordination tasks as assigned (documentation, filing, basic reporting, data cleanup, etc.).


Required skills and qualifications

  • Minimum of an associate’s degree in Business, Supply Chain, Accounting, or a related field.
  • Strong computer skills, including:
    • Proficiency with Microsoft Excel (sorting/filtering, basic formulas, data validation, and simple reporting).
    • Comfort working across multiple web‐based systems and dashboards.
  • Demonstrated ability to use AI large language models (LLMs) and productivity tools (e.g., AI coworkers for drafting emails, summarizing data, creating checklists, or supporting special projects).
  • Excellent organizational skills with the ability to manage multiple POs, customers, and deadlines simultaneously.
  • Strong attention to detail and accuracy in documentation, data entry, and reconciliations.
  • Clear, professional communication skills (written and verbal), especially for customer‐facing updates and cross‐department coordination.
  • Ability to interpret production schedules, inventory reports, and order status data and turn them into actionable next steps.


Preferred skills and experience

  • Experience with QuickBooks Online (QBO) or similar accounting platforms.
  • Previous work in environments using:
    • Enterprise Resource Planning (ERP) systems.
    • Inventory Management Systems (IMS).
    • Warehouse Management Systems (WMS).
  • Background in manufacturing, logistics, 3PL operations, or consumer products.
  • Experience managing private label or contract manufacturing accounts is a plus.
