Job description

GENERAL DESCRIPTION:
We are seeking a highly organized and detail-oriented individual to join our team as an IT Administrative Assistant. In this role, you will provide crucial administrative support to our IT department, ensuring the smooth operation of our technology infrastructure and services.
ESSENTIAL FUNCTIONS OF JOB:
1. Administrative Support: Assist in managing day-to-day administrative tasks such as scheduling meetings, handling
correspondence, and maintaining departmental records.
2. Technical Assistance: Provide basic technical support to employees, including troubleshooting software and hardware
issues, and escalating complex problems to the appropriate IT staff.
3. Documentation: Create and update documentation for IT processes, procedures, and user guides to facilitate efficient
operation and support.
4. Coordination: Coordinate IT-related projects and audits, including software installations, system upgrades, and equipment
procurement, by liaising with vendors and internal stakeholders.
5. Training: Assist in organizing and delivering training sessions for employees on IT systems and tools to enhance their
proficiency and productivity.
6. Security Compliance: Assist in enforcing IT security policies and procedures, including user access controls, data backups,
and antivirus measures, to safeguard sensitive information and systems.
7. Reporting: Generate reports on IT metrics and performance indicators, such as help desk tickets, equipment utilization, and
software licenses, to track departmental effectiveness and identify areas for improvement.
8. Other duties as assigned.
Requirements
REQUIRED SKILLS:
1. High school diploma or equivalent; associate or bachelor's degree in information technology or related field preferred.
2. Proven experience in administrative support roles, preferably in an IT environment.
3. Strong organizational and time management skills, with the ability to prioritize tasks effectively.
4. Excellent communication and interpersonal skills, with a customer service-oriented approach.
5. Basic understanding of computer hardware, software, and networking concepts.
6. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other common business applications.
7. Familiarity with IT service management tools (e.g., help desk software) is a plus.
8. Ability to adapt to changing priorities and work effectively in a fast-paced environment.
PHYSICAL REQUIREMENTS and WORKING CONDITIONS: While performing the essential functions of this job, this position is frequently required to sit, stand, talk or hear; use hands to feel and frequently are required to reach with their hands and arms and occasionally stand, walk, climb or balance; may occasionally lift, move, push or pull up to 100 pounds and frequently lift/move up to 25 pounds. Specific vision abilities required by this job include close vision. This is an indoor position and the noise level in the work area is usually moderate.
