Founded in 2009, CLO Virtual Fashion is creating a new ecosystem for digital fashion based on its unrivaled technology in 3D clothing simulation algorithms.
 
CLO Virtual Fashion provides all clothing-related services from concept to design, manufacturing, marketing, fitting, and styling based on 3D clothing simulation algorithms.
 
Along with costume design software CLO, Marvelous Designer, and Jinny, we are involved in the entire costume journey with platforms specialized in costume content such as CLO-SET and CONNECT to build an efficient and sustainable workflow. Additionally, our solution allows physical and digital garments to be tagged together to function within the CLO system.
 
CLO Virtual Fashion, which is leading the global digital fashion market, currently has a total of 13 offices in 11 countries around the world, including Asia, North America, Europe, and South America, and is gradually expanding based on numerous customers from around the world.
 
Position Overview
 
We are looking for a dynamic individual for the Employee Experience Manager position in our New York office. Employee Experience Manager roles span across our company in realms such as administrative support, accounting & finance, and operations - sharing common goals and key elements.
 
As a Employee Experience Manager, you'll help us achieve our mission by representing the company in managing business support for diverse cultures and policies, being a touch point for internal teams and C-level executives, and by serving as a knowledge resource for the entire community. The position will support the company in all HR and business administration functions, as well as office management, and event/project coordination. We are a small team based in New York City, requiring a lot of hats, ideas and passion for all things.
 
 
Responsibilities
Office Management and Facilities Administration
  • Workspace Operations: Oversee day-to-day office management and serve as the primary point of contact for the office building management.

  • Lease Administration: Maintain central records of lease contracts, review rent/utility invoices against agreed terms with the Finance & Accounting Team.

  • Vendor Management: Liaise with external vendors for essential office services to ensure consistently high service standards.

  • Logistics & Inventory: Manage inbound and outbound shipments to clients and global offices, ensuring the secure handling of confidential items.

  • Office Provisions: Maintain a vibrant workplace environment by managing local procurement and inventory of office supplies, snacks, and beverages.

  • Office Events: Support in Plan, organize, and execute in company's internal/external events.

Asset & IT Administration
  • Asset Lifecycle Management: Track and maintain precise records for all company assets, including laptops, desktops, and peripheral IT equipment.

  • Procurement: Coordinate the ordering and distribution of hardware, technical equipment, and general workplace supplies.

  • Software & License Management: POC for tracking centralized software licenses with HQ and managing local licenses by provisioning and granting for team members.

HR Operations
  • On/Offboarding: Establish structured onboarding and offboarding procedures to ensure seamless transitions for all NYC office team members. coordinate orientation resources, welcome packages, desk configurations, and IT setups for new hires.

  • Employee Engagement & Culture: Being the main POC for the office, managing day to day employee relation matters for the NYC office team. Plan team activities, catered lunches, and cultural initiatives to foster an engaging work culture.

  • Company Policy: Support other local P&C members to ensure all internal guidelines are aligned with the company's organizational playbook and core cultural values. 

  • Global Strategy: Collaborate with the People & Culture and General Affair team in the global offices to build and standardize company-wide SOPs and Policies. 

  • HRMS Administration: Maintain accurate employee records while reviewing and approving time-off and work-from-home requests to guarantee data integrity.

Budget Management
  • Employee Expense Control: Track and review operational expenses and employee reimbursements in close coordination with the Finance and Accounting team.

Business Travel & Expense Coordination
  • Travel Management: Act as the agile, on-site coordinator for business trips

  • Policy Compliance & Tracking: Enforce corporate travel policies and maintain an accurate travel history to track the travel expenses.

 
Requirements
  • Strong planning and analytical skills with high attention to details

  • Ability to exercise discretion with confidential matters 0-2 years professional work experience in a business setting (accounting, finance, operations, HR etc.). Proficiency in MS Office or Any accounting software is a plus.

  • Ability to take an initiative in a fast paced, dynamic environment.

  • Proactive mindset in identifying potential issues and developing preventative operational frameworks.

  • Excellency in professional communication skills, demonstrating composure and clarity in high-pressure situations.
