About the Role
We're seeking a highly organized, hospitality-minded Meeting & Events Planner to lead day-to-day event delivery and guide a team of Event Coordinators and Meeting & Event Associates. You'll partner across Workplace Experience, Facilities, IT/AV, Security, Catering, Executive Business Partners, and other teams to deliver thoughtful, inclusive, on-brand events in a fast-moving environment.
What You'll Do
Event Planning & Operations
• Lead planning and on-site execution for internal and external meetings, workshops, executive and VIP gatherings, recurring programs, and workplace events.
• Own end-to-end logistics, including scheduling, catering, A/V, security, room setup, staffing, signage, arrivals, guest flow, deliveries, and day-of readiness.
• Create and approve project plans, timelines, run-of-show documents, staffing assignments, floor plans, event materials, and post-event recaps.
• Lead pre-event meetings, anticipate needs, troubleshoot issues, and ensure events meet safety, accessibility, service, and brand standards.
• Maintain event spaces, storage, furniture, supplies, and coverage plans for recurring programming.
Team Leadership & Collaboration
• Lead, coach, and prioritize the daily work of Event Coordinators and Meeting & Event Associates.
• Set expectations, delegate work, balance workloads, remove blockers, review deliverables, and build team capability through feedback and mentorship.
• Coordinate cross-functional teams and external vendors, aligning roles, timelines, budgets, contracts, and accountability for consistent execution.
• Build trusted stakeholder relationships and communicate clearly with clients, leaders, coworkers, vendors, and partner teams.
Process Improvement
• Build scalable workflows, templates, playbooks, staffing models, and service standards; use event feedback to improve handoffs, communication, and quality.
• Translate business needs into practical programs and operating rhythms as a trusted workplace partner.
What You'll Need
Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
• 5+ years of experience in event planning, meeting coordination, workplace operations, hospitality, or a related field.
• 2+ years of experience leading, mentoring, or functionally managing team members in a fast-paced service environment.
• Proven ability to manage multiple projects, stakeholders, timelines, and vendors while delegating work, prioritizing competing requests, and maintaining a high bar for execution.
• Strong organizational, communication, hospitality, and people-management skills, with experience managing vendors, contracts, budgets, catering, and cross-functional relationships.
Nice to Have
• Experience in a tech startup, high-growth company, or similarly fast-paced environment, including building or scaling event operations and service standards.
• Producer experience for meetings, events, or workplace programs.
• Familiarity with A/V, video conferencing, sound, and basic event technology coordination.
