Job Summary
Wolfgang Puck Catering at Fanny's Restaurant & Café, located within the Academy Museum of Motion Pictures, is seeking a detail-oriented and collaborative Catering Coordinator to support exceptional hospitality and event experiences in one of Los Angeles' most recognizable cultural destinations. In this role, you will coordinate the administrative, sales, and logistical aspects of on-site and off-site catered events, serving as a key connection between clients, vendors, and internal teams. Success in this position comes from strong organization, clear communication, attention to detail, and a passion for creating seamless experiences from initial inquiry through event execution.
 
This position is ideal for someone who enjoys organization, collaboration, and creating outstanding client experiences. You'll work closely with operations, culinary, sales, accounting, and event teams to ensure every event is executed seamlessly.

Key Responsibilities

  • Maintain and update event reservations and records, including inquiries, tentative bookings, and confirmed events.
  • Prepare detailed function sheets, rental orders, and equipment requests to support successful event execution.
  • Create and distribute event packets containing staffing information, equipment requirements, beverage orders, signage, and event-specific materials.
  • Develop buffet signage, printed menus, and other event collateral as needed.
  • Organize and maintain event files, including client correspondence, contracts, invoices, proposals, payments, and event documentation.
  • Process certificates of insurance and related event documentation.
  • Respond to event inquiries and collect key information including event date, location, guest count, format, and client needs.
  • Prepare event proposals and assist with staffing requisitions.
  • Support sales and business development efforts through research, lead sourcing, client communications, and marketing initiatives.
  • Partner with the marketing team on promotional materials, campaigns, and event-related content.
  • Assist with venue tours, client walkthroughs, and on-site sales representation during events.
  • Receive and process client deposits accurately and timely.
  • Review reservation and financial data to ensure accurate forecasting and reporting.
  • Partner with accounting teams to resolve discrepancies and support financial reconciliation.
  • Prepare final client invoices and assist with monthly expense reporting.
  • Coordinate meetings, appointments, travel arrangements, and team schedules as needed.
  • Support special projects and additional responsibilities that contribute to business success.
