Job description

We are looking for Content Review Operations Specialist for our client in South San Francisco CA.

Job Title: Content Review Operations Specialist

Job Location: South San Francisco CA

Job Type: Contract

Job Overview:

Pay Range: $63.90hr - $68.90hr

Requirement/Must Have:

  • Bachelor s degree or equivalent experience.
  • 3+ years of professional experience in content operations, digital asset management, content review/approval processes, project coordination, or marketing operations.
  • Practical experience using content management and review/approval platforms such as Veeva Vault PromoMats or similar tools as a key system for digital asset workflows.
  • Strong interpersonal skills with demonstrated experience in customer/stakeholder support, problem-solving, and managing feedback.
  • Excellent organizational, multitasking, and analytical capabilities, with a proven track record of handling day-to-day administrative and operational tasks.

Responsibilities:

  • Serve as an operational touchpoint for content approval workflows, supporting parts or totalities of materials undergoing medical, legal, and regulatory review processes.
  • Manage claims processes, including claims approval, metadata alignment, auto-linking, quality checks on bulk claims documents, and maintaining reference libraries.
  • Validate and steward content metadata and business rules in support of modular content product standards and campaign alignment.
  • Partner with Content Review Operations Coordinators and leads to support continuous improvement and operational efficiency across the review cycle.
  • Act as a primary operational point of contact for end-user support, enabling users to navigate Veeva Vault PromoMats (VVPM).
  • Address day-to-day inquiries regarding platform user access, permissions, account updates, deactivations, and document ownership transfers.
  • Triage, address, or escalate user tickets and technical inquiries to the appropriate teams as needed.
  • Guide users to relevant documentation, Job Aids, Standard Operating Procedures (SOPs), process guidelines, and training resources.
  • Track, log, and identify recurring operational issues or system enhancement opportunities to support continuous process optimization.
  • Build and maintain effective working relationships with internal stakeholders, regional affiliates, and external agency partners.
  • Tailor communications to explain business processes and technical workflows clearly to non-technical audiences.
  • Facilitate smooth collaboration between global and local teams, incorporating feedback to ensure clarity and alignment.

Nice to Have:

  • Experience in the pharmaceutical, biotechnology, life sciences, healthcare, or other highly regulated industries.
  • Certification in Veeva Vault Platform or similar content review tool admin certifications.
  • Familiarity with medical, legal, and regulatory (MLR) review lifecycles, claims management, and compliance standards.
  • Adaptive, agile mindset with an interest in continuous process improvement.
