Job description

SUMMARY

The Communications Associate provides administrative, technical, and production support to the Communications Department under the direction of the Director of Tribal Citizen Engagement. This position supports internal and external communications that serve Tribal Citizens, staff, leadership, and the broader community. The Communications Associate assists with content coordination, records management, print and digital production, community outreach support, and day-to-day departmental operations. This role is essential to ensuring accurate, timely, and culturally respectful communication across the organization.

MINIMUM QUALIFICATIONS

  • High School diploma or GED required
  • One (1) to two (2) years of experience in a print shop, communications office, administrative support role, or similar environment
  • Demonstrated proficiency with computers and common office software applications
  • Ability to communicate clearly and professionally, both verbally and in writing
  • Valid, unrestricted Michigan Driver's License and ability to be insured under the GTB insurance carrier

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide general administrative and operational support to the Communications Department.
  • Assist with the coordination, preparation, and distribution of internal and external communication materials.
  • Support basic print, photo, video, and digital content activities used by GTB government divisions.
  • Assist with layout, formatting, duplication, and finishing of printed materials, including flyers, newsletters, reports, and informational packets.
  • Support social media, website updates, and other digital communication efforts as assigned.
  • Assist with intake, tracking, and coordination of communication requests, work orders, and project timelines.
  • Maintain departmental records, archives, files, and databases in both digital and physical formats.
  • Answer department phone calls professionally, route inquiries appropriately, and maintain effective communication with internal and external contacts.
  • Maintain organized filing systems for invoices, projects, archives, vendor information, and communications assets.
  • Monitor communications and office supply inventory and assist with ordering and restocking as needed.
  • Assist with maintaining departmental calendars, schedules, contact lists, and distribution lists.
  • Provide logistical and on-site support for community outreach activities, meetings, events, and presentations, including occasional setup and takedown.
  • Support coordination with other departments to ensure accurate and consistent messaging.
  • Adhere to all GTB policies, procedures, branding standards, and confidentiality requirements.
  • Maintain punctuality, professionalism, and a customer-service-oriented approach during scheduled work hours.
  • Be available to assist with duties outside of standard business hours, including evenings or weekends, as needed.
  • Perform other related duties as assigned.

EDUCATION and/or EXPERIENCE

  • High School diploma or GED required
  • Additional education, coursework, or training in communications, media, graphic design, marketing, or office administration preferred
  • Experience in a communications, administrative, office support, or print production role beneficial

DRIVING REQUIREMENTS

  • Must possess a valid Michigan Driver's License and be insurable under GTB policy.
