Job description

Day-to-Day Tasks:


  • Support printers installed at the NYSDOT Main Office (50 Wolf Rd).
  • Manage toner and other consumable supplies and inventory.
  • Order consumables as needed to support users.
  • Assist regional staff in obtaining printer supplies and consumables.
  • Assist regional staff with questions regarding leased printers, including support for setting up trouble tickets with the leasing companys helpdesk.
  • Install consumables (toner, ink, paper, etc.) in the Main Office printers.
  • Provide phone or email support for regional users to assist with instructions on installing consumables remotely.
  • Manage the intake of graphic arts orders from DOT users.
  • Act as an intermediary between the graphic arts vendor and DOT users for any inquiries, concerns, or assistance.
  • Ensure the timely receipt of graphic arts orders.
  • Receive, process, and reconcile graphic arts invoices.
  • Receive, process, and reconcile invoices from consumable vendors.
  • Perform other related duties as needed.
  • Develop Standard Operating Procedures (SOPs), manuals, job aids, procedures, policies, and related documentation for the aforementioned tasks. This task is to be completed within two months of the contract start date.


Requested Qualifications:


  • 60 months maintaining print consumable inventories (toner, paper, staples, etc.) on HP multi-function and stand-alone printers.
  • 60 months maintaining print consumable inventories (toner, paper, staples, etc.) on Toshiba multi-function printers.
  • 36 months using Microsoft Office suite of software
  • 36 months ordering and tracking printer consumables and other print-related commodities.
  • 36 months preparing and assisting in the processing of print and graphic arts related invoices.
  • 36 months processing graphic arts orders and assisting vendors/users with timely completion and delivery of orders.
  • 12 months maintaining print consumable inventories (toner, paper, staples, etc.) on Xerox multi-function and stand-alone printers.
