Commercial Construction Project Coordinator

Position Title: Commercial Construction Project Coordinator
Location: Houston, Texas
Employment Type: Full-Time

Position Summary

We are seeking an experienced Commercial Construction Project Coordinator to support the successful execution of commercial construction projects from preconstruction through closeout. The ideal candidate will have a strong understanding of construction administration, project documentation, subcontractor coordination, and accounting processes. This individual will serve as a key point of contact between project managers, subcontractors, vendors, clients, and internal teams to ensure projects are delivered efficiently and accurately.

Candidates must have a minimum of 5 years of commercial construction project coordination experience, with 10+ years preferred.

Key Responsibilities

  • Coordinate and manage project documentation throughout the project lifecycle.
  • Prepare, track, and distribute Requests for Information (RFIs).
  • Manage the submittal process, including review tracking and document distribution.
  • Prepare, process, and track change orders.
  • Coordinate and maintain project logs for RFIs, submittals, change orders, and closeout documents.
  • Assist with project budgeting, invoicing, and contract administration.
  • Review and process subcontractor invoices and vendor billing.
  • Prepare and assist with AIA pay applications, including lien waivers and supporting documentation.
  • Serve as the primary point of contact for subcontractors, suppliers, and project stakeholders regarding project documentation and administrative matters.
  • Maintain accurate project records and ensure compliance with contractual requirements.
  • Support project managers with scheduling, procurement tracking, and project reporting.
  • Coordinate project closeout documentation, warranties, operation manuals, and final submissions.
  • Facilitate communication between field operations, accounting, and project management teams.

Required Qualifications

  • Minimum 5 years of experience as a Project Coordinator in commercial construction.
  • Strong working knowledge of Sage 100 Contractor (required).
  • Experience preparing and managing:
    • RFIs
    • Pricing Sheets
    • AR Invoicing and Tracking
    • AP Invoicing and Tracking
    • Submittals
    • Change Orders
    • AIA Pay Applications
    • Subcontract Agreements
    • Project Closeout Documentation
  • Experience coordinating subcontractors and vendors.
  • Strong understanding of commercial construction processes, contracts, and project administration.
  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong written and verbal communication skills.

Preferred Qualifications

  • 10+ years of commercial construction experience.
  • Working knowledge of Procore construction management software.
  • Experience with commercial projects in sectors such as healthcare, education, industrial, retail, or office construction.
  • Familiarity with construction accounting procedures and job cost tracking.
  • Experience supporting multiple project managers and active project portfolios.
