Job description

Position Summary

The Construction Procurement Coordinator is a key member of the Arzuman Brothers Procurement Department, responsible for managing the complete purchasing lifecycle across all active luxury residential construction projects. Reporting directly to the Procurement Manager, this role serves as the primary procurement execution professional within the department - owning the end-to-end process of material sourcing, purchase order management, vendor coordination, logistics planning, and delivery tracking.


The Construction Procurement Coordinator works in close collaboration with the Architecture, Interior Design, Construction Operations, and Accounting departments to ensure that all materials, appliances, fixtures, finishes, and equipment are procured on schedule and within budget and meet the quality standards expected of ultra-luxury residential construction. This position requires exceptional organizational capability, command of procurement processes, and the ability to manage multiple concurrent projects in a fast-paced environment.


Main Tasks and Responsibilities

  • Procurement & Purchasing
    –    Review architectural plans, interior design finish schedules, and project specifications to identify procurement requirements and long-lead items.
    –    Develop and maintain procurement schedules aligned with construction timelines and project milestones.
    –    Assist project teams with material takeoffs and quantity verification to support accurate purchasing.
    –    Proactively identify long-lead items and initiate procurement activities sufficiently in advance to protect project schedules.
    –    Research alternative products, substitutions, and value engineering opportunities to support budget objectives without compromising design intent.
    –    Prepare, issue, and manage purchase orders for construction materials, appliances, fixtures, custom finishes, millwork, equipment, and other project-specific products in accordance with architectural plans, finish schedules, project specifications, and construction timelines across all active projectsy.
  • Vendor Management
    –    Maintain and enhance vendor databases, contact records, and supplier information within company systems.
    –    Track and evaluate supplier performance across cost, quality, responsiveness, and delivery reliability; escalate issues to the Procurement Manager as needed.
    –    Develop, maintain and strengthen strong working relationships with suppliers, manufacturers, distributors, and trade partners serving the luxury residential construction market.
    –    Coordinate with vendors to confirm product availability, lead times, pricing, and delivery logistics.
    –    Source and evaluate multiple competitive bids, balancing cost, service, responsiveness, quality, and vendor performance history to support informed purchasing decisions and minimize procurement risks associated with schedule impacts, material defects, shipping damages, and supplier underperformance to ensure alignment with Arzuman Brothers’ standards for luxury construction.
    –    Proactively resolve pricing discrepancies, delivery issues, product substitutions, and vendor performance concerns.
    –    Support the Procurement Manager in vendor negotiations, pricing agreements, and preferred supplier program management
  • Logistics & Delivery Coordination
    –    Coordinate and schedule material deliveries to active job sites, ensuring uninterrupted supply aligned with construction sequencing and project schedules.
    –    Track all material orders from purchase order issuance through receipt, storage and final delivery, establishing and maintaining accurate real-time procurement and inventory records.
    –    Coordinate warehouse operations, inventory management, material receiving, and off-site storage logistics to ensure materials are properly tracked, protected, and available when needed.
    –    Communicate confirmed delivery schedules, lead time updates, inventory availability and procurement status reports to project managers, site superintendents, and design teams.
    –    Coordinate special handling, installation, and white-glove delivery requirements for high-value, custom, or fragile materials.
  • Procurement Operations & Administration
    –    Maintain comprehensive procurement logs, purchase order registers, vendor documentation, and purchasing records for all active and completed projects, ensuring accuracy, organization, and accountability.
    –    Manage multiple concurrent projects by maintaining clear procurement schedules, follow-up activities, outstanding action items, and project-specific documentation to support timely decision-making and execution.
    –    Prepare and distribute procurement status reports, open order summaries, delivery updates, product alternatives, and decision items requiring review by project teams, clients, and management.
    –    Assist with invoice reconciliation by matching vendor invoices to purchase orders and coordinating discrepancy resolution with the Accounting Department.
    –    Maintain and update procurement procedures, templates, forms, and department documentation to ensure consistency and compliance with company standards.
    –    Communicate professionally and effectively with clients, consultants, vendors, and internal stakeholders through in-person meetings, phone calls, video conferences, and written correspondence to support procurement objectives and project success.
    –    Provide administrative and operational support to the Procurement Manager, including scheduling, correspondence, and department coordination..
  • Cross-Department Collaboration
    –    Collaborate closely with the Architecture Department to confirm material specifications, product selections, and procurement requirements prior to purchasing.
    –    Partner with the Interior Design Department to procure finish materials, furnishings, fixtures, and custom items in alignment with design intent and project schedules.
    –    Coordinate with Construction Operations and field teams to confirm delivery windows, site readiness, and material staging requirements.
    –    Interface with the Accounting Department to support timely and accurate payment processing, budget tracking, and invoice approvals related to procurement.
    –    Communicate with Executive Leadership and the Procurement Manager regarding procurement risks, budget exposures, and significant lead time concerns.
    –    Serve as a responsive procurement resource for field teams, promptly addressing purchasing requests, product substitutions, and urgent procurement needs.
    –    Proactively communicate procurement risks, supply chain constraints, and material lead time developments that may impact project schedules or budgets.
  • Perform other duties as assigned by the Procurement Manager or CEO Designee


Position Requirements, Knowledge, and Skills

  • Bachelor’s degree in Business Administration, Supply Chain Management, Construction Management, Logistics, Procurement, or a related field preferred; equivalent professional experience will be considered.
  • Minimum 3 years of progressive experience in construction purchasing, procurement, logistics, or supply chain management required.
  • Prior experience in luxury residential construction procurement strongly preferred.
  • Ability to read and interpret architectural plans, finish schedules, and construction specifications.
  • Strong working knowledge of construction materials, custom finishes, appliances, fixtures, and millwork.
  • Advanced proficiency in Microsoft Excel required; experience with Google Sheets or equivalent platforms a plus.
  • Experience with Autodesk Takeoff/Forma, Procore, Salesforce, or equivalent construction management or procurement platforms preferred.
  • Exceptional organizational, time management, and multi-project coordination skills with a high degree of attention to detail.
  • Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization and with external partners.
  • Valid California driver’s license required; ability to travel to project sites, vendor showrooms, and warehouses as needed.


Physical Expectations

  • This is primarily a sedentary office position; however, it requires the ability to bend, stoop, reach, and carry office supplies and materials weighing up to 25 pounds.
  • Finger dexterity is required to operate a computer keyboard, calculator, and telephone equipment for extended periods.
  • Ability to travel to offsite meetings, vendor locations, job sites, warehouses, and storage facilities at the department’s request.
  • Must be able to follow directions from a supervisor and adapt to varying physical tasks as assigned.
  • Ability to work occasional extended hours or weekends based on project needs.
