Job description

A well-established company supporting commercial construction and manufacturing projects is seeking an experienced Billing Specialist with a strong background in construction billing, job costing, and contract invoicing. The ideal candidate is detail-oriented, organized, and experienced with QuickBooks Desktop and managing multiple projects.

Responsibilities

Prepare and process construction billings, including AIA, time & materials, and cost-plus billing

Review contracts, purchase orders, and change orders to ensure accurate billing

Prepare and track Preliminary Notices (Pre-Liens) and Lien Waivers

Submit invoices through customer portals, email, or mail according to customer requirements

Reconcile billed amounts with job costing and accounting records

Research and resolve billing discrepancies and customer disputes

Maintain accurate and organized billing records and documentation

Monitor project/job costing, including labor, materials, and cartage, to help ensure project profitability

Analyze job costs and identify discrepancies or potential issues

Perform internal audits and ensure adherence to company procedures

Prepare reports and communicate findings to management

Assist with compliance related to sales tax and 1099 filings

Support other accounting projects and special assignments as needed

Qualifications

5+ years of construction billing experience

Strong knowledge of construction billing processes and billing cycles

Experience with AIA billing

Knowledge of construction contracts, change orders, Pre-Liens, and Lien Waivers

QuickBooks Desktop experience – REQUIRED

Proficiency with Microsoft Office

Experience with accounting and/or construction management software

Strong understanding of job costing and project financials

Excellent attention to detail and organizational skills

Strong analytical and problem-solving abilities

Excellent verbal and written communication skills

Ability to manage multiple projects and meet deadlines

Construction industry experience strongly preferred
