The Order Processing Specialist plays a critical role in ensuring accuracy, efficiency, and timeliness in the release of customer orders to production. This position bridges Sales, Production, and Quality Control by validating data, coordinating documentation, and maintaining compliance with company standards. Specialists ensure orders are properly reviewed, processed, and communicated across departments, reducing errors and delays while supporting operational flow at multiple facilities

Key Responsibilities

  • Order Management & Processing
  • Review orders released from Visual for accuracy and completeness before processing into Connex.
  • Confirm that ship dates, production dates, and calendar entries align across all systems.
  • Verify material descriptions, stretch outs, lengths, bays, batching, and loading bay assignments.
  • Ensure all custom punches, trims, and non-standard requests are accompanied by complete drawings.
  • Place orders on hold and coordinate with Sales if discrepancies, missing details, or errors are identified.
    • Collaborate with sales and customer service to resolve order discrepancies.
  • Technical Drawings & Hole Punch Layouts
  • Import and verify order data between Visual, Connex, and the SSRS.
  • Input and validate custom punch locations line-by-line in Connex using drawings and punch housing maps.
  • Monitor and resolve mismatches between Connex and Visual to ensure system alignment.
    • Ensure drawings meet both customer requirements and manufacturing standards.
  • Production Coordination
    • Communicate order details and drawings with production teams to ensure clarity and accuracy in a timely manner.
  • Communicate order statuses, delays, or issues to Sales, Production, and Dispatch as needed.
  • Maintain strict adherence to departmental policiesโ€”no changes permitted once an order is in Order Processing or Production without approval.
  • Quality Assurance & Compliance
    • Double-check orders and drawings to ensure compliance with internal standards and customer specifications.
    • Collaborate with quality control to address deviations or potential issues before production.
  • Batch orders by weight, size, or bay in compliance with shop requirements and scrap-reduction guidelines.
    • Track and record scrap piece marks, partials, and remakes for continuous improvement and accountability.
  • Support both Claxton and Grand Prairie facilities with consistent order processing standards.
  • Continuous Improvement
    • Recommend process improvements to reduce errors and increase efficiency.
    • Support documentation of best practices for order handling and technical drawing preparation.

Qualifications

    • High school diploma or equivalent required.
    • 2+ years of experience in order processing, production coordination, or drafting within steel, metals, or manufacturing industries.
  • Technical Skills
  • Ability to interpret shop drawings, production details, and custom punch requirements.
  • Proficiency in Visual, Connex, and related production/order management systems.
    • Knowledge of steel fabrication processes, particularly hole punching, cutting, and forming.
  • Core Competencies
    • Exceptional attention to detail and organizational skills.
  • Effective communication and problem-solving skills for cross-department collaboration.
    • Ability to work in a deadline-driven, high-volume environment.
  • Accuracy and thoroughness under time-sensitive deadlines.
  • Proactive issue identification and resolution.
  • Team-oriented mindset with a focus on supporting Production, QC, and Sales.
  • Commitment to consistency, efficiency, and quality in every order.
