Description

The Shack Retreat and Conference Center is a campus ministry of Grace Adventures Ministries. Grace Adventures Ministries is a religious organization that makes employment decisions on Bible based beliefs and practices. Because of the nature of our Christian program; Christian belief, character, and practice are essential requirements of employment positions.
Summary:

  • Fulfill the overall ministry of The Shack Retreat and Conference Center and cast a vision to others. This position is in direct communication with guests and potential guests. The Receptionist/Registrar will oversee office management, registration and receptionist responsibilities. This person must be able to work within a team and possess a servant heart with excellent communication skills. 

General Responsibilities:

  • This person is the first point of contact to the ministry and is responsible to present a servant attitude, pleasant conversation style and professional manner at all times
  • This person must have general knowledge of all operating activities
  • This position will be solution-focused and provide timely feedback for those we serve
  • The person will communicate accurately and in a timely manner

Specific Responsibilities:

  • Work closely with the Guest Services Manager on Partnership and Sponsored groups and events
  • Maintain and coordinate information for groups
  • Operation of office equipment and instructing others in its operation
  • Manage all data/file systems
  • Responsible for registrations
    • Data entry
    • Process and post payments
    • Send confirmation emails / letters
    • Serve as point person for questions
    • Check-out/Check-in guests
    • Coordinate special needs for guests, e.g. dietary, luggage
  • Oversee office operations
    • Sorting and dispensing mail
    • Answering phones, maintaining continuous coverage during business hours
    • Coordinate ordering of office supplies
    • Maintain the office/reception area in a clean, professional manner
    • Maintain and update the personnel files
    • Provide secretarial support for Managers
  • Provide verbal/written updates to the next shift regarding registration status, changes in guest numbers, special requests, etc. 
  • Other responsibilities as assigned by supervision or management

Requirements

Qualifications:

  • A testimony and lifestyle that gives evidence of a true experience of salvation by grace in Jesus Christ
  • An attitude of excellence in workmanship
  • A desire to learn new skills
  • High school diploma or GED; Associate Degree preferred
  • Two years' experience minimum in an office/ministry setting
  • Ability to be flexible and adjust quickly and effectively due to a people oriented organization
  • Demonstrated ability to use various management software and Google Workspace, including Doc and Sheets
  • Ability to solve complex problems and communicate solutions effectively to diverse audiences
  • Have the physical ability to travel and implement various program activities over a 141 acre campus. At times lifting and carrying is part of the job.

Authority:

  • This person will have the authority to represent the mission and vision of The Shack Retreat and Conference Center through all personal contacts, communication pieces and telephone conversations
  • To organize the office to maximize its daily operations and communication with its constituency
  • This person shall have the authority to manage their week in order to maximize the effectiveness of their areas of responsibility.
