Job description

POSITION SUMMARY
The Conference Services Supervisor will assist and supervise the conference services staff in transporting and setting chairs and tables in classrooms, and in setting up, cleaning, refreshing and maintaining classrooms and classroom supplies.
ESSENTIAL DUTIES AND RESPONSIBILITIES -THE ESSENTIAL FUNCTIONS INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
  • Transport tables and chairs to classrooms or other meeting locations and set according to departmental standards as indicated on Banquet Event Order (BEO).
  • Remove all unnecessary equipment from meeting locations and return to the proper storage area.
  • Set up classrooms and other meeting locations according to BEO specifications. Set up includes, but is not limited to the placement of tables, chairs, pads, pencils, water and other classroom supplies.
  • Refresh, clean and breakdown classrooms as assigned.
  • Maintain close contact with the Conference Managers and Clients to coordinate requests or special needs.
  • Supervise all conference service personnel
  • Monitor all overtime with approval of manager of conference services.
  • Assist manager with producing, evaluating and maintaining weekly staff schedules.
  • Ensure proper daily operating standards and policies are met.
  • Check daily BEO's and Change Log. Prepare to do list for team members.
  • Check and inspect all classrooms for proper setup according to BEO specification and department standard.
  • Ensure accurate and on time set-up of all meeting rooms.
  • Monitor and maintain proper inventory of all equipment & supplies.
  • Suggest new procedures and standards to maintain a professional and up-to-date department review.
  • Review team member performance standards and training needs with manager to evaluate staff performances for yearly reviews.
  • Assist manager in conducting monthly department meetings.
  • Comply with and enforce all AWCC standards, policies, and regulations.
  • Work in a manner consistent with the Core Values of AWCC.

EDUCATION & EXPERIENCE
  • One year or related experience required.
  • Previous supervisor experience preferred.
  • Customer service skills required.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
While performing the duties of this job, the employee is regularly required to talk and/or hear. The employee frequently is required to stand. Must be physically capable of working long shifts of up to 12 hours daily, six days per week when needed. The employee is occasionally required to sit; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and twist, bend, stoop, kneel, crouch, or crawl. The employee must occasionally lift, move, push, and/or pull up to 80 pounds. The employee must frequently use computer and other special operating equipment. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.
Employment is contingent upon successful completion of a background and drug test.
