Job description

We are pleased to announce a wonderful opportunity for a Complex Sales Coordinator.
Position Summary
The Complex Sales Coordinator provides critical administrative and operational support to the Complex Director of Sales and multi-property sales teams. This role plays a key part in driving revenue by supporting lead management, coordinating group and transient business, and ensuring timely and accurate execution of sales processes across all properties. The Complex Sales Coordinator serves as a liaison between clients, sales teams, and hotel operations to ensure seamless communication and exceptional service delivery.
What will you be doing most days?
Sales & Lead Management
  • Manage and respond to group and transient leads, RFPs, and inquiries across multiple properties, ensuring timely follow-up and proper distribution.
  • Support the sales team in tracking leads, managing the sales pipeline, and maintaining conversion momentum.
  • Assist in coordinating and preparing proposals, contracts, and client correspondence.

Systems & Reporting
  • Maintain accurate and up-to-date records in CRM and sales systems (e.g., Delphi, PEP, Salesforce).
  • Track and update lead activity, booking status, and production data.
  • Generate and distribute reports related to sales performance, lead activity, and production as directed.

Group & Event Coordination
  • Coordinate group logistics, including rooming lists, BEOs, event schedules, and group resumes.
  • Ensure proper collection and distribution of group credit applications and adherence to billing procedures.
  • Support seamless communication between sales, operations, and clients to ensure successful event execution.

Administrative & Operational Support
  • Provide direct administrative support to the Complex Director of Sales and property-level sales teams.
  • Maintain sales calendars, appointments, and follow-up schedules.
  • Prepare internal and external correspondence and documentation in a timely and accurate manner.

Client Engagement & Sales Support
  • Assist in coordinating site visits, client meetings, and sales presentations across properties.
  • Support execution of sales initiatives, including blitzes, trade shows, and networking events.
  • Assist with marketing efforts, including promotions, social media coordination, and client outreach.

What are the requirements for this position?
  • High School Diploma or equivalent required; Associate's or Bachelor's degree in Hospitality, Business, or related field preferred.
  • 1-3 years of experience in hotel sales, front office, or administrative support preferred.
  • Experience with hotel systems such as Delphi, PEP, Salesforce, or similar CRM platforms strongly preferred.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Ability to manage multiple priorities in a fast-paced, multi-property environment.
  • Professional, service-oriented demeanor with a strong sense of urgency.
  • Valid driver's license required.
  • Ability to work a flexible schedule, including occasional evenings or weekends.

Physical Requirements for this Position
You must be able to walk and stand for extended periods of time as the job dictates.
Travel Requirements
This position requires up to 10% travel. Travel is outside the local area and overnight.
