Schwartz, Page & Harding, L.L.P. is a law firm that specializes in the creation and administration of various municipal utility districts and special purpose districts. They serve as general and bond counsel for districts such as water control and improvement districts, levee improvement districts, and municipal management districts.


Please note: This is not a litigation practice. The firmโ€™s work is focused on public finance, district governance, infrastructure development, and regulatory complianceโ€”not courtroom representation.


Role Description

The Administrative Support Secretary is a secretarial position that provides general secretarial and administrative support to the Firm and assists with operational needs across departments. The position serves as a designated back-up receptionist and provides secretarial overflow support to attorneys, secretaries, and other personnel as assigned. Responsibilities will vary from day to day based on Firm needs, with reception coverage and secretarial tasks serving as ongoing responsibilities.


Essential Job Responsibilities

ยท        Provide back-up reception coverage, including answering and directing telephone calls, greeting visitors, and assisting with general reception needs.

ยท        Scan, process, and distribute meeting minutes and related documents as assigned.

ยท        Provide temporary secretarial coverage during Secretarial absences.

ยท        Assist with agenda posting, distribution, and related meeting materials.

ยท        Update SPH database information for districts and maintain accurate records.

ยท        Prepare and send Fact Sheets to consultants and other designated recipients.

ยท        Serve as the contact person for Board meeting copies and coordinate ongoing meeting copy requests.

ยท        Coordinate and submit courier requests as needed.

ยท        Review and revise documents received from attorneys, including agreements, memoranda, and other correspondence.

ยท        Distribute attorney outboxes and assist with the timely delivery of documents and materials.

ยท        Provide general secretarial and administrative support to attorneys, secretaries, and other departments as assigned.

ยท        Reliable, consistent attendance in the office is required.
