Job description

The Assistant Community Manager position supports Community Managers in the overall supervision of Community Associations. The Assistant Community Manager interacts with internal and external customers including homeowners, vendors, and committee members, as well as staff within the branch office. This position helps to facilitate the operations and administration of Associations in accordance with the management agreement.

Duties include but are not limited to:

  • Assists on RPM calls/meetings as needed
  • Assists owners and vendors over the phone and via email, including follow up
  • Organizes and prepares correspondence relating to association business.
  • Prepares and assists HOA managers with monthly board packages, annual meetings, and in-house mailings.
  • Updates homeowner and association information in Appfolio and shared files.
  • Files association documents as needed.
  • Processes print jobs, scanning and faxing as general office support when needed.
  • Assist in getting bids from vendors for Associations as needed
  • Assist with various access systems for multiple Associations ie Gate Access, Club House Access, Pool Access, etc.
  • Assist the Community Manager with Architectural Review Committees with the architectural review process and/or routine inspections as necessary.
  • Other duties as assigned.


Requirements

· Knowledge of Microsoft Office products (Word, Excel, Outlook, Teams, etc.) at a proficient level.

· Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.

· Knowledge of conflict resolution techniques at a proficient level.

· Professional communication skills (phone, interpersonal, written, verbal, etc.).

· Professional customer service skills.

· Self-motivated, proactive, detail-oriented, and a team player.

· Time management and time-critical prioritization skills.

Education & Experience:

· College Degree Preferred

· Community Association or Property Management experience Preferred
