Job description

Join a collaborative and client-focused team as an Association Accounting Coordinator, where you will play a vital role in supporting the financial operations of community associations. This position acts as a key liaison between the Accounting Department, Community Association Managers, Board Members, and Unit Owners, ensuring that accounting-related requests are managed efficiently and professionally. The role offers the opportunity to combine accounting support, project coordination, and customer service in a dynamic environment. Responsibilities
  • Serve as the primary point of contact for accounting-related inquiries from Community Association Managers, Board Members, and Unit Owners.
  • Coordinate accounting-related projects and departmental initiatives from inception through completion.
  • Assist with the preparation and distribution of monthly financial reports.
  • Research and resolve accounting questions by collaborating with internal departments.
  • Track and follow up on outstanding requests to ensure timely resolution.
  • Prepare professional correspondence, reports, and supporting documentation.
  • Coordinate the onboarding and transition of new associations into the Accounting Department.
  • Assist with annual audits, budget preparation, and other special accounting projects.
  • Maintain organized electronic records and department documentation.
  • Work closely with the Accounts Payable, Accounts Receivable, and Accounting teams to ensure efficient operations.
  • Identify opportunities to improve processes and enhance the client experience.
  • Perform other accounting and administrative responsibilities as assigned.
Qualifications
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Minimum of two years of experience in accounting, administrative support, project coordination, or customer service.
  • Strong understanding of basic accounting principles.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational, analytical, and time management skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Ability to work independently and as part of a collaborative team.
  • Community Association (HOA/Condominium) accounting experience preferred.
  • Property management experience is a plus.
  • Experience with budget preparation or coordination is a plus.
  • Experience communicating professionally with Community Association Managers, Board Members, and Unit Owners is preferred.
  • Experience with property management and accounting software, such as Vantaca, is preferred.
  • Demonstrated professionalism, discretion, and integrity when handling confidential financial information.
  • Proactive, resourceful, and solutions-oriented approach.
