Job description

BFO Management is seeking an experienced, hands-on Property Manager to join our team in Boca Raton, Florida. This position will be responsible for overseeing and supporting our portfolio of commercial properties located throughout Florida, South Carolina, Georgia, and New Jersey.
The ideal candidate is highly organized, proactive, professional, and comfortable managing multiple properties, tenants, vendors, projects, and priorities simultaneously. This is not strictly a desk position—we are looking for someone who takes ownership of their properties and is willing to be actively involved in day-to-day operations.
Key Responsibilities
  • Manage the day-to-day operations of assigned commercial properties across FL, SC, GA, and NJ.
  • Serve as a primary point of contact for tenants and respond promptly and professionally to tenant concerns and requests.
  • Conduct regular property inspections and identify maintenance, safety, appearance, and operational issues.
  • Coordinate repairs, preventative maintenance, and capital improvement projects.
  • Manage and communicate with vendors, contractors, landscapers, cleaning companies, security providers, HVAC contractors, plumbers, electricians, and other service providers.
  • Obtain and compare vendor proposals and ensure work is completed properly, on time, and within approved budgets.
  • Review vendor invoices and confirm that work has been completed before approving invoices for payment.
  • Assist with annual property budgets, operating expenses, CAM expenses, and expense tracking.
  • Monitor tenant compliance with lease requirements and coordinate lease-related matters with management and legal counsel when necessary.
  • Assist with tenant move-ins, move-outs, renewals, expansions, and property turnover.
  • Coordinate with leasing, accounting, maintenance, legal, and executive management.
  • Maintain organized property records, contracts, certificates of insurance, inspection reports, permits, warranties, and vendor documentation.
  • Track open maintenance items and projects through completion.
  • Assist with insurance claims and property-related incidents when necessary.
  • Help ensure properties remain clean, safe, properly maintained, and professionally presented.
  • Assist with construction, renovations, tenant improvements, and other special projects.
  • Provide regular updates to senior management regarding property conditions, tenant issues, outstanding projects, expenses, and priorities.
  • Travel to properties outside of Florida as needed.
Qualifications
  • Previous commercial property management experience strongly preferred.
  • Experience managing multiple properties or a multi-state portfolio is a plus.
  • Strong understanding of commercial leases, CAM expenses, property maintenance, vendor management, and tenant relations.
  • Excellent organizational and follow-up skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable communicating with tenants, contractors, attorneys, brokers, executives, and ownership.
  • Ability to review proposals, invoices, contracts, and property-related documentation.
  • Proficient with Microsoft Office; experience with Yardi or similar property management software is preferred.
  • Must be comfortable working independently and taking ownership of assigned responsibilities.
  • Valid driver's license and reliable transportation required.
  • Ability and willingness to travel to properties in Florida, South Carolina, Georgia, and New Jersey as needed.
