Who we are

Ponderosa Community Management is Spokane’s largest locally and independently owned management company focused exclusively on homeowner and condominium associations. We are not a regional branch of a national company. Our office, leadership, managers, and accounting team are here in Spokane Valley, close to the communities we serve.


We believe association management should be collaborative, transparent, practical, and human. We do not replace the board. We help board members understand their responsibilities, see their options clearly, and make informed decisions. We take the work seriously without pretending every irrigation leak is a five-alarm emergency. No one on our team is expected to know everything—but everyone is expected to know when to ask, when to research, and when to bring in someone who knows what we do not.


The role

The Portfolio Community Association Manager is the primary relationship manager and operational guide for a portfolio of homeowner and condominium associations. You will implement policies established by each board, coordinate the services included in each association’s management agreement, and provide accurate information and practical advice to support board decision-making.


This is a hybrid position based from our Spokane Valley office. The rhythm of the job includes focused office and remote work, community site visits, and scheduled board and membership meetings. Some evening meetings and occasional urgent response outside normal business hours are part of the role; flex time helps balance those demands.


What you will be responsible for


Board leadership and governance support

·    Serve as the board’s trusted management advisor while respecting that the board sets policy and makes association decisions.

·    Prepare for and attend board, annual membership, budget ratification, and committee meetings as assigned; help boards build useful agendas and follow through on action items.

·    Explain governing documents, management processes, and applicable requirements in plain language, while recognizing when legal interpretation belongs with association counsel.

·    Educate and orient new board members; encourage sound governance, open communication, and consistent procedures.

·    Keep boards regularly informed about the association’s financial, physical, compliance, and operational health.


Financial and administrative stewardship

·    Partner closely with Ponderosa’s accounting team to develop annual budgets, review financial reports, monitor variances, track delinquencies, and support responsible reserve planning.

·    Maintain accurate association records, membership information, meeting materials, correspondence, work orders, and portfolio calendars.

·    Monitor deadlines and help each board move from decision to completion—without making the decision for them.


Property operations and vendor coordination

·    Conduct periodic community inspections and prepare clear, actionable reports.

·    Coordinate routine maintenance, landscaping, snow removal, repairs, reserve projects, and other contracted services.

·    Track maintenance requests and projects, communicate progress, and escalate risks or decisions promptly.

·    Support architectural review and covenant-compliance processes with consistency, discretion, and respect.

Homeowner and community relationships

·    Respond to homeowner questions professionally and explain the process, even when the issue is complicated or emotionally charged.



What the manager is—and is not

A Ponderosa manager leads the process. The manager does not become the board, set policy, guarantee that every physical issue will be observed during an inspection, supervise independent vendors as employees, or provide legal, engineering, insurance, tax, or other technical advice outside the manager’s qualifications. Good judgment includes knowing the boundary and helping the board reach the right qualified professional.

·    Valid driver’s license, reliable transportation, and ability to travel to communities throughout the greater Spokane area.

·    Ability to attend scheduled evening meetings and respond appropriately to occasional urgent property matters.

·    Ability to perform routine office and site-based work, including walking properties in varied weather and occasionally carrying meeting or inspection materials. Reasonable accommodations are available.
