Job description

Unexpected Blooms is a local nonprofit that repurposes donated flowers into beautiful bouquets for people in healthcare and support facilities. Weโ€™re looking for a volunteer Corresponding Secretary to join our Board of Directors and Operations Team to help us grow! This is a behind-the-scenes role with a BIG impact! As the communication hub for UB, youโ€™ll help keep our volunteers, donors, Board, and operations connectedโ€”and make all the wonderful things we do possible.

Responsibilities include:

  • Attends and votes at Board meetings (8x annually)
  • Attends virtual Operations Team Meetings (2x monthly)
  • Participates in (annual) May Board recruitment process and meetings
  • Attends and sets up / takes down Board-sponsored Appreciation Events (2x annually)
  • Attends other social events when possible
  • Gmail Account Manager
    • Sends correspondence from the organization's e-mail account to donors, new volunteers, active volunteers, Board Members, and other inquiries daily.
    • Creates a log of recurring flower donations, common requests, monthly e-mail volume, etc. to track activities.
    • Sends thank you e-mails to donors and volunteers bi-monthly or as needed.
    • Maintains organization's e-mail account by year and category and empties trash and spam as needed.
  • Creates and updates SignUpGenius (SUG) Monthly. (including Active Volunteer signup, Ops Meetings, Board Meetings, etc.)
  • Sets up annual calendar for alternating weeks by facility, noting activities and meetings, holidays, etc.
  • Sets up annual events log with all recurring flower donations and known repeatables (large event floral donation opportunities)
  • Updates log with data gathered from floral donation forms and follow-up e-mail correspondence with donor / point of contact.

Ideal candidate:

  • Computer-savvy and familiar with Gmail, SignUpGenius, as well as Google Calendar, Meet, and Sheets
  • Experience in customer service and administrative record keeping
  • Detail-oriented and mission-driven
  • Able to commit ~1 hour/day, longer on meeting days
