We are seeking a highly organized and detail-oriented Project Coordinator / Commercial Proposal Manager to support the end-to-end proposal and commercial lifecycle. This role is responsible for developing customer proposals and offer letters, reviewing solicitations, coordinating terms and conditions, and ensuring compliance with internal and external requirements. The position serves as a key interface between commercial, legal, finance, and operational teams to ensure accurate, timely, and compliant execution of commercial activities.

In addition, this role supports business registration activities, vehicle title management, and internal asset tracking, requiring strong attention to detail, regulatory awareness, and cross-functional coordination.

Key Responsibilities / Essential Functions
  • Prepare and manage customer proposals, quotes, and offer letters, including both unsolicited opportunities and formal solicitations (RFPs/RFQs)
  • Review solicitations to identify requirements, risks, and compliance considerations; coordinate internal responses accordingly
  • Coordinate and review key commercial terms and conditions with the Commercial Team and other stakeholders
  • Set up and maintain projects and contracts within internal systems, ensuring accuracy and completeness of documentation
  • Participate in project status meetings and support alignment between commercial commitments and project execution
  • Monitor project deliverables to ensure they meet customer expectations and contractual requirements
  • Identify commercial and project-related risks and recommend appropriate mitigation strategies
  • Provide timely updates to customers and internal stakeholders regarding project progress, delays, and issues
  • Serve as a point of contact for customer inquiries, responding promptly and professionally
  • Build and maintain strong relationships with current and prospective customers
  • Coordinate across departments to address customer requirements, challenges, and proposed solutions
  • Support business registration activities and ensure compliance with applicable regulatory requirements
  • Manage vehicle title processing, documentation, tracking, and delivery in accordance with legal standards
  • Maintain corporate-issued assets and conduct routine inventory reporting
  • Produce timely, accurate, and detailed reports related to proposals, projects, and operational activities
  • Develop and improve processes, procedures, and methodologies to enhance proposal and project execution efficiency
  • Provide guidance and support to project teams as needed to ensure successful delivery
  • Follow all company policies and procedures
Qualifications
  • Bachelor’s Degree in Business, Finance, Engineering, or a related field and minimum 4 years of prior relevant experience
  • Experience in proposal management, contracts, commercial operations, or related field
  • Experience reviewing solicitations (RFPs/RFQs) and coordinating proposal responses
  • Familiarity with contract terms and conditions and commercial risk considerations
  • Strong organizational and multitasking skills with high attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office; experience with ERP or contract management systems preferred
  • Ability to work independently and collaboratively in a fast-paced environment
