Job description

The Office Coordinator is responsible for assisting with the smooth day-to-day operation
of the office by providing administrative, organizational, and operational support. This
role serves as a point of contact for office logistics, facilities coordination, meeting and
event support, and employee workplace needs. The ideal candidate is highly organized,
proactive, customer-focused, and able to manage multiple priorities in a fast-paced
environment.
Key Responsibilities
• Serve as a point of contact for visitors, callers, employees, and vendors,
providing professional and responsive customer service.
• Provide administrative support to executive leadership and cross-functional
teams, including coordinating travel, reservations, expense reporting, purchasing
card reconciliations, and special projects.
• Coordinate leadership meetings and other company meetings, including
scheduling, agenda preparation, meeting materials, logistics, catering, and
communication of meeting details.
• Maintain organized electronic files, records, department distribution lists, scan
documents and other administrative documentation.
• Process incoming and outgoing mail, shipping, receiving, and package
distribution processes.
• Coordinate office facilities and workplace operations, including vendor
relationships, maintenance requests, repairs, office moves, workspace setup,
and equipment installations.
• Assist with additional administrative, operational, and office support activities as
assigned.
Preferred Qualifications
Education
• Associate's degree or equivalent work experience
• 2+ years of administrative, office coordination, workplace operations, or related
experience.
• Experience supporting multiple stakeholders in a professional office environment
preferred.

• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
