Overview

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is seeking a NetSuite Administrator to join the IT team! 

The NetSuite Administrator is responsible for supporting, maintaining, and improving the NetSuite ERP platform to help ensure seamless business operations. This role involves working closely with our Financial Services team, Controllers Office, and other cross-functional teams to understand business needs, assist with system enhancements, support end users, and maintain system integrity, security, and performance. The NetSuite Administrator will contribute functional and technical knowledge, including a solid understanding of accounting concepts, to help improve processes and support effective use of NetSuite across the organization.

Please note: We are open to hiring for this position to work remotely, with periodic travel to Madison expected throughout the year.  Remote candidates must reside in one of the following states to be considered: Arizona, Colorado, Illinois, Iowa,  Nebraska, New Mexico, New York, Texas, or Wisconsin.

Essential Functions

NetSuite Administration

  • Participate in the daily administration, maintenance, and support of the NetSuite platform, including user access, roles, permissions, and security controls.
  • Support NetSuite implementation projects, upgrades, integrations, and customizations to meet business objectives.
  • Develop, test, and deploy workflows, scripts, dashboards, reports, and saved searches to optimize business processes.
  • Collaborate with stakeholders to gather requirements, troubleshoot issues, and deliver solutions that improve operational efficiency.
  • Monitor system performance, proactively identify potential issues, and implement best practices for system optimization.
  • Train and support end users, create documentation, and promote adoption of NetSuite features.
  • Manage third-party integrations and coordinate with vendors for system enhancements or troubleshooting.
  • Ensure compliance with internal policies and external regulations regarding data security and privacy.
  • Stay current with NetSuite updates, new features, and industry trends to recommend practical system improvements.
  • Stay current with financial policy, methods and other tools.
  • Share knowledge with team members, financial staff, and IT staff to support effective system use and issue resolution.
Partnership with Finance
  • Work closely with Finance and Accounting teams to conduct data analysis, understand and implement reporting needs, develop custom workflows and dashboards, etc.
  • Leverage knowledge of financial operations and financial systems to assist in the implementation of best practices and process improvement.
  • Work with other team members to develop and maintain training and onboarding materials for staff.
  • Collaborate with subject matter experts to develop, maintain and execute automated test scripts to reduce manual labor.
QualificationsRequired Qualifications:
  • Bachelor's degree in Information Technology, Computer Science, or a related field or equivalent experience.
  • NetSuite Administrator or SuiteFoundation certification.
  • 2+ years of experience administering or supporting NetSuite ERP in a business environment.
  • 1+ year of experience working with finance or accounting teams to understand and support business requirements.
  • Working knowledge of NetSuite modules such as Financials, CRM, Inventory, Order Management, or related functionality.
  • Working knowledge of general accounting principles such as general ledger, accounts payable, and related financial processes.
  • Experience supporting NetSuite integrations, API-based processes, or third-party applications preferred.
Other Qualifications:
  • Ability to support projects, prioritize tasks, and deliver results in a fast-paced environment.
  • Excellent analytical, problem-solving, and communication skills.
  • Ability to translate business requirements into technical solutions.
  • Experience with data migration, system configuration, and user training.
  • Ability to work collaboratively with 3rd party system vendors.
  • Experience supporting process automation and workflow development within NetSuite.
  • Strong attention to detail and commitment to system integrity.
  • Familiarity with other ERP systems and cloud-based applications.
  • Advanced Excel skills and reporting capabilities.
  • Experience using AI platforms to enhance or automate processes and work streams.
  • Experience participating in small to medium sized work efforts.
