Client Services Manager – Meals on Wheels

Rockingham County, NH | Full-Time | Nonprofit Mission-Driven Role

Help seniors remain independent in their homes while ensuring critical services run smoothly behind the scenes.

Our Meals on Wheels program delivers more than meals—we deliver independence, safety, and connection to older adults throughout our community. We are seeking a Client Services Manager who enjoys working with data, improving systems, and ensuring that the services our clients receive are accurate, compliant, and well managed. This role is ideal for someone who combines analytical thinking, attention to detail, and a commitment to mission-driven work.

What You’ll Do

The Client Services Manager ensures that clients are properly enrolled in programs, services are correctly documented, and billing and reporting systems are accurate and audit-ready.

You will also help the organization understand how programs are performing through regular reporting and analysis.

Program Operations

  • Supervise client intake and redetermination processes to ensure eligibility is properly documented.
  • Oversee coding of clients within agency systems.
  • Ensure client information across systems is accurate, complete, and up to date.

Data & Reporting

  • Perform “Blue Sheet” reconciliation of planned vs. actual service units in ServTracker.
  • Track and report program activities across services, including meal programs and transportation.
  • Prepare client and service unit data for state reporting and billing to DHHS.
  • Produce regular reports on meal site performance, contract status, and other operational metrics.

Compliance & Systems Integrity

  • Maintain documentation processes and paper trails to support clean audits and strong compliance practices.
  • Monitor internal systems to ensure accurate classification of services and eligibility.
  • Identify opportunities to improve workflows and data accuracy.

Team Leadership

  • Supervise two direct reports responsible for intake and client data entry.
  • Provide coaching, support, and process improvement

What We’re Looking For

Experience

  • 5+ years of professional experience.
  • Background in nonprofit services, food service programs, healthcare, or elder services strongly preferred.
  • Experience with Meals on Wheels programs or similar human services programs is a plus.

Skills

  • Strong analytical and problem-solving ability.
  • Excellent attention to detail and data accuracy.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Collaborative team player who enjoys improving systems and processes.
  • Strong proficiency with Microsoft Office, especially Excel.
