Job description

My client is seeking a bilingual a highly organized, proactive, and detail-oriented individual, capable of ensuring structured project follow-up, adapting flexibly to changes, and maintaining effective communication between the construction site, professionals and the management team.

Duties and responsibilities

Project Management and Coordination:

  • Monitor project progress to ensure deadlines and quality objectives are met.
  • Identifying and communicating to the parties involved the key elements of the project that they need to consider.
  • Participate in project planning and close-out, including cost assessments, documentation, and tracking of additional work.
  • Serve as a point of contact and liaison between various internal and external stakeholders.
  • Coordinate activities among professionals, subcontractors, suppliers, and the internal team.
  • Assist in tracking change requests, amendments, and additional work.
  • Implement corrective actions when necessary to ensure project progress.

Administration and Project Support:

  • Process invoices and prepare construction budgets.
  • Review and validate invoices in accordance with purchase orders and approved budgets.
  • Create purchase orders and track documents received from suppliers.
  • Manage CNESST site openings and closings and maintain records with the CCQ.
  • Keep subcontractor and supplier records up to date (RBQ, insurance, etc.).
  • Participate in the bidding process, including price analysis, negotiation, and project documentation (plans, specifications, correspondence).
  • Manage and track project documents (plans, specifications, shop drawings, technical data sheets, correspondence, work certificates, warranties, project close-out files, etc.).
  • Maintain filing and tracking systems (SharePoint, Asana, Stack).

Health and Safety:

  • Ensure compliance with health and safety standards on construction sites.
  • Assist in the preparation, distribution and tracking of acceptance for prevention programs on new sites.
  • Collaborate to ensure occupational health and safety practices are followed.

Qualifications

  • Experience in the construction industry.- Must have Commercial Prefered
  • Minimum of 2 years of experience in a similar role (Senior Project Coordinator, Project Assistant, or Project Manager) within a general contracting company.
  • Strong organizational and time management skills, able to work effectively in a team and adapt to unexpected changes.
  • Ability to execute tasks efficiently while maintaining high-quality work.
  • Accuracy and diligence in project documentation and administrative follow-up.
  • Autonomous, with strong problem-solving skills and the ability to take initiative.
  • Excellent communication and interpersonal skills.
  • Good knowledge of MS Office.
  • High attention to detail, problem-solving and follow-up are essential.
  • Fluency in both French and English, spoken and written, is required.
  • Experience with project management tools (Asana, SharePoint, Stack, Monday, SmartUse, or equivalent) is an asset.

Responsabilités

Gestion et coordination de projets

  • Coordonner les activités entre les professionnels, sous-traitants, fournisseurs et l’équipe interne.
  • Assurer le suivi des demandes de changements, avenants et travaux additionnels.
  • Mettre en place des actions correctives lorsque nécessaire afin d’assurer l’avancement des projets.

Administration et soutien aux projets

  • Traiter les factures et préparer les budgets de construction.
  • Vérifier et valider les factures selon les bons de commande et les budgets approuvés.
  • Créer les bons de commande et assurer le suivi des documents reçus des fournisseurs.
  • Gérer les ouvertures et fermetures de chantiers auprès de la CNESST et maintenir les dossiers à jour avec la CCQ.
  • Maintenir à jour les dossiers des sous-traitants et fournisseurs (RBQ, assurances, etc.).
  • Participer au processus d’appels d’offres, incluant l’analyse des prix, les négociations et la documentation des projets (plans, devis, correspondance).
  • Gérer et assurer le suivi des documents de projets (plans, devis, dessins d’atelier, fiches techniques, correspondance, certificats de travaux, garanties, dossiers de fermeture, etc.).
  • Maintenir les systèmes de classement et de suivi (SharePoint, Asana, Stack).

Santé et sécurité

  • Veiller au respect des normes de santé et sécurité sur les chantiers.
  • Participer à la préparation, à la distribution et au suivi des programmes de prévention pour les nouveaux chantiers.
  • Collaborer afin d’assurer l’application des bonnes pratiques en santé et sécurité au travail.

Qualifications

  • Expérience dans l’industrie de la construction (commerciale de préférence) – requis.
  • Minimum de 2 ans d’expérience dans un rôle similaire (Coordonnateur(trice) principal(e) de projets, adjoint(e) de projets ou gestionnaire de projets) au sein d’une entreprise de construction générale.
  • Excellentes aptitudes organisationnelles et en gestion des priorités, avec capacité à travailler efficacement en équipe et à s’adapter aux imprévus.
  • Capacité à exécuter les tâches efficacement tout en maintenant un haut niveau de qualité.
  • Grande rigueur dans la documentation et le suivi administratif des projets.
  • Autonomie, sens de l’initiative et excellentes capacités de résolution de problèmes.
  • Excellentes habiletés de communication et relations interpersonnelles.
  • Bonne maîtrise de la suite MS Office.
  • Le souci du détail, le suivi rigoureux et la résolution de problèmes sont essentiels.
  • Bilinguisme français/anglais, à l’oral et à l’écrit, requis.
  • Expérience avec des outils de gestion de projets (Asana, SharePoint, Stack, Monday, SmartUse ou équivalent) constitue un atout.
