What You’ll Do

As the Client Experience Coordinator, you’ll play a vital role in creating a seamless and memorable experience for every client while supporting our advisors and office operations.

Client Experience

· Welcome clients and visitors, creating a warm and professional first impression.

· Serve as the primary point of contact for clients on behalf of the advisors.

· Answer incoming phone calls and respond to client inquiries promptly and professionally.

· Schedule and confirm client appointments.

· Follow up with clients regarding outstanding paperwork, account requests, and service needs.

· Prepare materials and documentation for client meetings.

· Coordinate account deliveries and ensure clients receive all necessary information.

Operations & Administration

· Manage the prospect-to-client onboarding process and workflow.

· Collect information needed for insurance, annuity, and investment applications.

· Process new business applications accurately and submit paperwork to carriers.

· Monitor application status, account funding, and account setup through completion.

· Process account transactions and maintain accurate client records.

· Enter and maintain client information in the firm’s CRM and other software systems.

· Generate reports and assist advisors with daily workflow and office operations.

· Complete licensing and registration paperwork as required.

Marketing & Events

· Assist with planning and coordinating client appreciation events, educational seminars, and workshops.

· Support marketing campaigns and client communications.

· Participate in occasional evening events throughout the year.

What We’re Looking For

We’re looking for someone who enjoys helping others, pays close attention to detail, and takes ownership of their work.

Qualifications

· 2+ years of administrative, client service, or office support experience preferred.

· Previous experience in the financial services or financial advisory industry is preferred.

· High school diploma or equivalent required.

· Proficiency in Microsoft Office, including Excel.

· Experience with CRM software is a plus.
