Position Overview - Quorum Private Wealth - East is seeking an Registered Senior Client Associate to act as a trusted partner to advisors and a central point of coordination across client service, operations, and relationship management. This individual will oversee complex client servicing needs, support high-net-worth client relationships, manage operational workflows, and help ensure consistency, efficiency, and excellence across the practice.


This individual will play a highly visible role both internally and externally, serving as a primary day-to-day contact for clients while partnering closely with advisors to execute deliverables, manage priorities, and maintain exceptional service standards.


Your Role & Responsibilities
You will support end-to-end operations that impact client service and firm efficiency, including but not limited to:


Client Service & Operational Support

  • Serve as a primary point of contact for high-net-worth and ultra-high-net-worth clients regarding service requests, account needs, and ongoing relationship support
  • Build strong, trusted relationships through proactive communication, responsiveness, and attention to detail
  • Coordinate and prepare for client meetings, including scheduling, agenda preparation, follow-up items, reporting, and deliverable execution
  • Anticipate client needs and proactively identify opportunities to enhance the client experience
  • Support advisors in delivering a high-touch, concierge-level service model across all client interactions
  • Manage sensitive client situations with professionalism, discretion, and urgency 

Wealth Management Operations & Account Onboarding

  • Oversee complex operational workflows including:
  • New account openings, Account transfers (ACATs), Money movement requests, Alternative investment paperwork, Beneficiary updates, Required minimum distributions, Cash management requests, Estate and trust account administration support
  • Review and process wires, ACHs, journals, checks, deposits, and other transactional requests in accordance with firm policies and compliance standards
  • Ensure accuracy, completeness, and timeliness of all client documentation and operational processing
  • Coordinate directly with custodians, vendors, and internal partners to resolve operational issues efficiently
  • Maintain accurate books and records while ensuring adherence to compliance and regulatory standards
  • Identify opportunities for workflow improvement, operational scalability, and process optimization

Advisor & Practice Management Support

  • Act as a strategic operational partner to advisors, helping manage priorities, timelines, and execution across the business
  • Assist with preparation and organization of financial planning deliverables, investment review materials, and client reporting
  • Help oversee internal workflows, task management systems, and service calendars to ensure accountability and follow-through
  • Support business continuity and practice management initiatives as the firm scales
  • Assist with special projects, strategic initiatives, and implementation of operational enhancements

Client Experience & Event Coordination

  • Coordinate personalized client outreach related to life events, milestones, and relationship management initiatives
  • Support planning and execution of client appreciation events, educational seminars, and firm-hosted experiences
  • Help maintain consistency in client communications and overall brand presentation

Operational & Office Support

  • Assist with client technology troubleshooting 
  • Manage FedEx and outgoing mail coordination 
  • Support building-related issues and vendor coordination as needed 
  • Oversee administrative workflows and internal task queues

Requirements

  What We're Looking For

  • 4-10+ years of experience within wealth management, private wealth, family office, or financial services environments
  • Prior experience in roles such as:
    • Senior Client Associate
    • Wealth Management Associate
    • Private Wealth Associate
    • Operations Manager within an RIA or advisory practice
  • Strong understanding of wealth management operations, investment accounts, financial markets, and client service workflows
  • Experience supporting high-net-worth and ultra-high-net-worth clientele preferred
  • Familiarity with custodial platforms such as Pershing, Schwab, Fidelity, or similar
  • CRM experience preferred
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Ability to prioritize and manage multiple competing priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High emotional intelligence, professionalism, discretion, and client-centric mindset
  • Self-starter who is proactive, resourceful, and capable of working independently
  • Series 7 and 66/65 preferred or willingness to obtain
