Job description

Our client, Bleck & Bleck Architects, a commercial architecture, engineering and design firm with offices in downtown Libertyville, is seeking a Part-Time Office Manager to work a flexible, 20-25 hour per week schedule in the office. Days and times can be flexible but must be performed during business hours.

Selected individual will manage administration and operations for the office building and architectural business.

Specific responsibilities include:

  • Performs all bookkeeping tasks including A/P, A/R and collections.
  • Prepares, processes, and monitors budgets, checking accounts, project proposals, contracts, records, and invoices.
  • Researches and compiles information for reports, presentations, specifications, certificates of insurance, and marketing materials.
  • Receives rent checks, packages and mail and forwards appropriately or responds to them.
  • Answers phones, greets visitors, and makes them feel at home.
  • Processes employee transactions and coordinates with payroll service.
  • Coordinates with social media marketing service.
  • Coordinates with other vendors, such as outside accounting firm, lawn service, snow removal service, insurance companies, refuse company, computer service, phone service, etc.
  • Orders and stocks equipment and supplies.
  • Onboards new staff.
  • Performs related activities as required.

Preferred qualifications:

  • Experience in bookkeeping, accounting, or property management accounting, including experience in office administration.
  • Experience in real estate or architectural design a plus but not required.
  • Interest and ability to work a part time schedule
  • Experience with various personal computer software applications.
    • Microsoft 365, including Outlook, Word, Excel, and PowerPoint.
