Overview

Schedule: Monday - Friday, 8 hour day shift, onsite.

Purpose Statement/Position Summary: The Executive Assistant provides the highest level of executive support and serves as the primary contact to the Department of Surgery Chair/Surgeon-in-Chief and AVP of Finance & Strategy, serving as the primary point of coordination for complex scheduling, communications, and executive priorities. The Executive Assistant understands the Chair’s line of business, clients and team, and is empowered to make decisions on behalf of the executive. Represents and supports the executive in client and non-client activities, often acting as a liaison between the executive and their organization or clients. The Executive Assistant completes high quality work to meet established goals, independently, with a large degree of autonomy and limited supervision.

This role requires a deep understanding of the Chair’s clinical, administrative, and external commitments, exercising strong judgment to prioritize competing demands, safeguard executive time, and coordinate high-impact meetings and events. As a trusted liaison, anticipates needs, manages sensitive information with discretion, and ensures efficient execution of departmental priorities.

The Department of Surgery is responsible for the oversight and management of the divisions of surgery and their faculty. The Department provides leadership and direction to the advancement of teaching, research, and clinical care by its faculty. It regularly engages with USC – School of Medicine, CHLA Medical Group, and CHLA, as well as providing financial, planning, and strategic leadership. It recruits and retains pediatric experts from around the world to deliver world class care and to advance surgical medicine.

Minimum Qualifications/Work Experience:

  • 5+ years of progressively responsible secretarial and administrative experience or a combination of related education, secretarial and business experience required.

  • Previous support of C-Suite/ Senior level executives required.

  • Advanced knowledge with demonstrated proficiency in MS Office programs is required.

  • Expert calendaring required.

  • Preferred experience includes : Experience in the field of healthcare: basic medical and/or scientific terminology; experience in academic medicine; experience with executive presence and communication.

Education/Licensure/Certification: Bachelor’s degree required, or combination of education and equivalent relevant experience.

Pay Scale Information

$61,152.00-$100,464.00

Final determination of a successful candidate’s starting pay will vary based on a number of factors, including, but not limited to, education and experience within the job or the industry. The pay scale listed for this position is generally for candidates who meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates who exceed these specified qualifications and requirements.
