Chat Manager information

What is a chat manager?

Chat Managers are professionals responsible for overseeing and facilitating online chat communications between a company and its customers or users. They manage chat support teams, ensure timely and accurate responses, and work to improve customer satisfaction through effective communication. Chat Managers may also analyze chat metrics, train new chat agents, and develop best practices to enhance service quality. Their role is vital in maintaining a positive digital customer experience and resolving issues efficiently.

What are the key skills and qualifications needed to thrive as a chat manager, and why are they important?

To excel as a Chat Manager, you need expertise in customer service, team leadership, and digital communication, often supported by prior experience in customer support or contact center environments. Familiarity with chat platforms, CRM software, and analytics tools is typically required, and certifications in customer service management can be beneficial. Strong soft skills such as conflict resolution, multitasking, and motivational leadership help build cohesive and high-performing teams. These competencies are essential for ensuring efficient, high-quality customer interactions and meeting organizational service goals.

How does a chat manager typically collaborate with customer support and technical teams to improve service quality?

A Chat Manager works closely with customer support agents to monitor conversations, identify recurring issues, and provide coaching for improved communication. They often liaise with technical teams to relay customer feedback and troubleshoot platform issues, ensuring prompt resolution and smoother chat operations. Regular meetings and data-sharing sessions help align strategies and maintain high service standards. This collaborative approach ensures that both customer-facing representatives and technical staff are informed and responsive to evolving customer needs.

Job description

About Dan Cummins Auto Group

Join one of the largest and highest-volume dealership groups in Kentucky! At Dan Cummins Auto Group, we pride ourselves on providing an extraordinary automotive experience grounded in hometown values, transparent service, and continuous growth. We support our team with specialized training, modern tech tools, and a collaborative environment where high performers thrive.

Position Overview

The Business Development Representative (BDC Rep) serves as the critical first point of contact for prospective automotive buyers. In this role, you will manage inbound inquiries and execute proactive outbound communications via phone, email, text, and live chat.

Your primary goal is not closing floor sales, but generating qualified leads and securing confirmed showroom appointments for our sales teams across all dealership locations.

Key Responsibilities
  • Lead Response & Conversion: Respond rapidly to incoming internet leads, chat inquiries, and phone calls using approved messaging guidelines and templates.

  • Appointment Scheduling: Qualify customer needs and convert inquiries into booked, high-probability showroom appointments.

  • Outbound Outreach: Execute structured multi-touch follow-up campaigns to unsold leads, past customers, and digital prospects.

  • CRM Data Management: Log all customer interactions, update vehicle interests, and maintain accurate records within the CRM platform.

  • Product & Campaign Familiarity: Maintain up-to-date knowledge of current inventory, dealer incentives, financing options, and regional promotions.

  • No-Show Follow-Up: Re-engage missed appointments and reschedule visits to maintain pipeline velocity.

 Qualifications & Skills
  • Customer Service Experience: Prior experience in customer service, call center environments, retail, or hospitality is strongly preferred.

  • Communication Skills: Excellent verbal and written communication abilities with a comfortable, clear, and professional phone presence.

  • Tech Savvy: Ability to quickly navigate CRM systems, internet tools, and multi-channel messaging platforms.

  • Drive & Resilience: Motivated, goal-oriented mindset capable of handling objection rejections with enthusiasm.

  • Requirements: Valid driver’s license and eligibility to work in the U.S.

What We Offer
  • Competitive base salary plus aggressive performance-based bonus incentives.

  • Comprehensive health, dental, and vision insurance options.

  • 401(k) retirement plan with company contribution.

  • Vacation accrual and PTO
  • Initial and ongoing training and personal/professional development programs.

  • Opportunities to advance into other positions throughout the company.

  • 5 day work week, closed Sundays.
