Operates within the Memorial Behavioral health and Memorial Health System mission, vision, strategic priorities and goals. Assumes day-to-day operational management of Patient Support Services/Front Desk/Reception, informatics, records at various Memorial Behavioral Health community mental health locations. Creates and maintains a work environment conducive to effective communication, collaboration, teambuilding and professionalism.  Assures that administrative, business office, EHR, and clerical support is appropriate for MBH patients, colleagues and MH partners.  Maintains interdepartmental relationships as well as positive employee morale. Embodies the Memorial Health System Performance Excellence Standards of Safety, Courtesy, Quality, and Efficiency that support our mission, vision and values.


Education:

·        Bachelor’s degree in health care administration, public administration, business administration, or other closely related field.

Licensure/Certification/Registry:

·        Valid Driver’s License, reliable transportation, clean driving record, and proof of automobile insurance. 

·         

Experience:

·        3-5 years of relevant experience in operational management and administrative business support services including previous supervisory experience.

·        Previous experience in community mental health and/or clinic environment preferred.

Other Knowledge/Skills/Abilities:

·        Must have excellent organizational, writing, problem solving skills and assertiveness. 

·        Must have keyboarding and computer skills, as required by position. 

·        Must pass fingerprint background check and drug screen.

  1. Responsible for the management oversight of MBH non-clinical patient support and operational functions, including administrative and patient support services, informatics/EHR, and records functions.
  1. Interviews, selects, and retains staff. Monitors staff performance/appraisals and initiates corrective action as necessary in accordance with Human Resources.
  1. Serves as a professional role model and works to encourage and develop future emerging leaders as a function of succession planning. Maintains an awareness of current and emerging local, State and national issues related to behavioral healthcare.
  1. Maintains an understanding of the clinic’s primary client population and their care needs/requirements.
  1. Maintains a sound knowledge base of clinical and operational support dependencies, ensures compliance with requirements related to record retention and other administrative requirements through CARF, State of Illinois, or other regulatory standards applicable to MBH or MH. .
  1. Develops and builds collaborative relationships with clinical behavioral health treatment teams.
  1. Demonstrates ability and willingness to collaborate with MBH and MH peers and staff.
  1. Holds regular staff meetings in order to facilitate communication of organizational imperatives/changes.
  1. Reviews and evaluates monthly expenditures and operating statements and implements corrective action plans to address variances as necessary. Participates in the preparation of the annual budget for areas of responsibility and identifies capital needs.
  1. Designs and implements cost-effective strategies that will enhance effective and efficient client care delivery.
  1. Ensures staff’s attention to organization’s patient satisfaction objectives and goals.
  1. Manages organizational practices with regards to MBH’s Medical Record Department, including release of information, scanning, data entry, physical storage and maintenance of the electronic health record and paper records. Provides direction to supervising colleagues on the release of information to ensure follow through and compliance with IL Confidentiality Act.
  1. Responsible for all aspects of the EHR. Understands EHR technical systems at a high level to include system build, system settings, interfaces, security and user interface with ability to apply knowledge to update and support systems as needed. Maintains a close working relationship with clinical, operations and business management, Information Systems and Memorial Health System.
  1. Participates in client safety and quality improvement efforts leveraging expert knowledge of clinical workflows and technology. Works closely with clinical operations to ensure proper change management protocol as appropriate.
  1. Communicates effectively with clinical management and assists them in defining the clinical and operational needs. Participates in clinical operations management meetings as a resource. Communicates with management teams on project status to ensure that all project objectives are met.
  1. Maintains the scope and quality of the electronic health record system (EHR), including monitoring, analyzing and coordinating resolution of large scale EHR issues. Manages process redesign and information flow systems related to the EHR and coordinates all clinical and business-related project activities related to the use and support of the EHR.
  1. Performs other related work as required or requested.
