Position Summary
The Office Manager is responsible for overseeing the day-to-day administrative operations of the Cambridge Birth Center. This role manages a broad range of complex functions, including staff support, departmental logistics, payroll administration, vendor coordination, purchasing, and operational improvement initiatives. The successful candidate will play a key role in ensuring smooth and efficient department operations while maintaining a high level of professionalism and confidentiality.
Key Responsibilities
• Provide oversight and support for administrative staff, workflows, scheduling, and departmental logistics.
• Coordinate and implement operational improvement projects to enhance efficiency and effectiveness.
• Manage office equipment maintenance, repairs, upgrades, and inventory in collaboration with CHA Information Technology and other departments.
• Coordinate departmental support services, including IT requests, office supply purchasing, and vendor service requests.
• Collect, review, submit, and maintain weekly payroll reports to ensure timely and accurate payroll processing.
• Maintain strict confidentiality when handling sensitive employee, patient, and departmental information.
• Coordinate meeting room scheduling and ensure appropriate use of departmental space.
• Maintain departmental files and records, including physician files when applicable.
• Manage calendars, appointments, meetings, agendas, and meeting reminders for department personnel.
• Prepare purchase requisitions, check requests, vendor payments, and employee reimbursements, ensuring timely processing and follow-up.
• Perform additional administrative and operational duties as assigned.
Qualifications
• High School Diploma or equivalent. Bachelor's degree preferred.
• Administrative experience in executive office and/or health care service industry or public health.
• A minimum of three (3) years experience in office management, support, and supervision.
• Bilingual in Portuguese, Spanish or Haitian Creole is a plus.
