Job description

Job Title: Preschool Case-file Agent
Reports to: Program Director, Administrator
FLSA Status: Non-exempt

General Job Description Summary
Under the direction of an Administrator and Program Director, shall follow Title V & 22 regulations in determining the eligibility of families for the State Preschool funded programs and all work required to enroll eligible children into the program, filing, updating, recertifying, and all other work-related to managing such files. Determining accuracy and completeness of files will be important. This is a customer service related job. Looking for a friendly, amicable and outgoing candidate who is comfortable talking and working with parents and families during the enrollment process and thereafter. Candidate shall be attending on-the-job training and on-going training as needed and train new staff and site supervisors as necessary to maintain compliance. May need to work with the administrator and/or program director in the preparation of audits and other office-related tasks and responsibilities. May need to help out in the classroom from time to time or as needed to assist staff during low staff ratios, preparation for special programming, or other as need.

EDUCATION/QUALIFICATIONS:

  • Minimum High School Diploma and 1 year of college courses.
  • A.A. or A.S. Degree preferred.
  • Child Development educational courses, 3 units minimum and willingness to take remaining 9 units for total of 12.
  • Min 12 CORE Child Development units for a fully qualified preschool teacher, a plus

KNOWLEDGE, EXPERIENCE & SKILLS:

  • Knowledge of office management and case file management.
  • Critical thinking skills & basic math skills
  • Good organizational and planning skills.
  • Good communication skills in English both vocal and written, and basic math operations are required.
  • Relates well to others and has a positive and friendly personality, outlook and demeanor.
  • Computer literate, software literate, Microsoft Office, and other Windows-based software operations.
  • Problem-solving and creative skill a plus.
  • Record-keeping techniques, documentation as required.
  • File auditing skills a plus.
  • Bilingual a plus.

OTHER NOTEWORTHY CHARACTERISTICS:

  • Complete work with many interruptions.
  • Meet schedules and timelines.
  • Understand and follow oral and written directions.
  • Work cooperatively and effectively with families and other staff.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

  • Must be able to lift and/or move 25-50 lb boxes, stand, walk, bend without strain, or hesitation.
  • Often required to sit at a desk for periods of time, stand, reach with hands and arms; stoop, kneel, crouch, bend or squat.

WORK HOURS: Average 4 to 8 hrs./day depending on the assigned schedule.

We are seeking an Administrative Assistant - Preschool - Case File Worker to join our team! You will perform clerical and administrative functions in order to drive company success.

Company Description

We are a Montessori agency that provides Infant through Kindergarten educational and child care services to children and families through the Montessori method of teaching in the San Gabriel Valley since 1982. We have preschool sites in Pomona, Hacienda Heights, Azusa, Baldwin Park and El Monte. We are also hiring for new sites being developed in greater Los Angeles areas, Compton and Van Nuys. We provide private (fee-paying) and subsidized programs funded by the Department of Education/Child Development Division via State Preschool. We have a combined government grant which offers subsidized preschool program services to families in the communities we serve that qualify for the program. This funding required Title V regulations to be followed when enrolling families. Our preschool program follows the Montessori Philosophy and Reggio approach to education which offers classrooms that are rich in diversity, materials and experiences.
