About Our Job

The Department of Safety, Community Corrections Division is seeking an Administrative Assistant IV to join our team.

The Administrative Assistant IV position is within the Community Corrections Division (CCD), within the Department of Safety. The agency administers alternative to incarceration programs including pretrial services, in home detention and residential community corrections facilities. The CCD has a diverse and dedicated staff committed to enhancing public safety and working with the community and other criminal justice agencies.

Job Responsibilities include but are not limited to:

  • Responds to sensitive inquiries in a gender responsive and trauma informed manner as it relates to program policies and procedures

  • Actively works with financial department staff to ensure payments are accurately made to stakeholders and agencies

  • Provides on-going daily support for program supervisors and leadership regarding a multitude of areas which include, but are not limited to, billing, record management, staff training

  • Maintains monthly records of all training completed by staff. This includes mandatory and non-mandatory trainings to track yearly requirement of 40 hours of training

  • Provides a quarterly report to each individual staff and the staff's assigned supervisor and program director with a report of training status to date

  • Creates and maintains a systematic process to dead-file participant and facility records which includes tracking of all records being maintained to monitor for chain of custody, archiving and destruction

About You

Our ideal candidate will have:

  • Bilingual in Spanish and English (not a requirement)

  • Have experience working in a related field

  • Skilled use of software and business application including, but not limited to, word processing, spreadsheets, presentation software, and databases

  • Communicate clearly and concisely, both verbally and in writing

  • Commitment to working collaboratively within a team to ensure timely completion of work.

  • Motivation to work with others in a culturally responsive, trauma informed manner and ability to demonstrate a healthy working alliance

Below are the minimum requirements used to determine eligibility for this position:

  • Education Requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate.

  • Experience Requirement: Three (3) years of full performance office support/clerical work (type and level of an Administrative Support Assistant III).

  • Education & Experience Equivalency: Additional appropriate education may be substituted for the minimum experience requirements.

  • License/Certifications: By position, requires a valid Driver's License at the time of application.

By position, requires certification or licensure related to area of work at the time of application or by the completion of probation.

Licenses and certifications must be kept current as a condition of employment.
