Executive Assistant To Vice President Of Caremark Trade Relations

This is an exciting opportunity to provide high-level executive administrative support to the Vice President of Caremark Trade Relations at CVS Health. The Caremark Trade organization plays a critical role in shaping CVS Health's contracting and relationships with pharmaceutical manufacturers across one of the largest health care companies in the United States.

The Executive Assistant (EA) serves as a trusted business partner to the VP of Caremark Trade, providing comprehensive administrative, operational, and logistical support in a fast-paced, highly confidential environment. The ideal candidate is a tech-savvy, motivated self-starter with exemplary planning and time management skills, the ability to work with limited direction, and the judgment to anticipate needs and resolve issues independently. This role requires superior written and verbal communication skills, an ability to interact professionally with senior leaders and external partners, and unwavering discretion when handling sensitive information.

Key Responsibilities

Calendar & Meeting Management

  • Proactively manage and coordinate the VP's daily schedule, calendar, contacts, and high volume of communications across phone and email.
  • Arrange and schedule a high volume of internal and external meetings, determining the relative importance of meeting requests and adjusting the calendar accordingly; anticipate scheduling conflicts and proactively resolve them.
  • Coordinate meetings across multiple time zones with internal CVS Health leaders, pharmaceutical manufacturers, wholesalers, and other external trade partners.
  • Execute complex meeting and event preparation (AV, room scheduling, telepresence/Teams events, off-sites, etc.), including set-up and follow-up, preparing agendas, presentations and materials, documenting notes, coordinating follow-up items to completion, and arranging for food and beverage as needed.
  • Participate in meetings as appropriate, take detailed notes, extract action items, and disseminate information to relevant stakeholders, including weekly email updates.

Travel & Expense Management

  • Arrange domestic and (as needed) international travel and all related accommodations, producing comprehensive and detailed itineraries that anticipate the needs of the executive on the road.
  • Process reimbursement and expense reports through Concur in accordance with established policy guidelines; track expenses, reconcile receipts, and follow up in a timely manner.
  • Coordinate with external partners and counterparts on logistics for off-site meetings, industry conferences, and manufacturer visits.

Administrative & Operational Support

  • Prepare, proofread, format, and edit executive-level communications, presentations, agendas, spreadsheets, and reports.
  • Draft and edit correspondence on behalf of the VP, ensuring tone and content are appropriate for senior internal and external audiences.
  • Prioritize and track deliverables, manage project timelines, deadlines, and requests across the team.
  • Coordinate onboarding and offboarding of employees and consultants, including hardware requests, system access, and space planning.
  • Manage general administrative tasks, including ordering supplies, renewing memberships and subscriptions, managing distribution lists, photocopying, and deliveries.
  • Maintain department files across electronic document systems, SharePoint, intranet sites, and web-based project management tools.

Strategic Partnership & Confidentiality

  • Serve as a strategic thought partner by developing a strong understanding of the VP's priorities, the Caremark Trade team's business objectives, and the organization's operating cadence.
  • Act as a point of contact between the VP and senior leaders, external partners, and key stakeholders; provide a bridge for smooth communication and maintain credibility and trust with senior leadership.
  • Build strong working relationships across other executive assistants, leadership teams, and functional partners to streamline communication and workflows.
  • Handle highly sensitive and proprietary information with diplomacy, discretion, and confidentiality at all times.
  • Independently resolve issues within scope and escalate appropriately when needed.
  • Manage special projects as designated and assist other department members as necessary.

Required Qualifications

  • 3+ years of progressive administrative experience supporting senior leadership, ideally direct support to VP-level or above executives.
  • Demonstrated experience managing complex calendars, executive phone coverage, and detailed work and travel itineraries.
  • Advanced proficiency in Microsoft 365 tools, including Outlook, Teams, PowerPoint, Word, Excel, and SharePoint.
  • Proven ability to work with and maintain confidential information.
  • Exceptional organizational, written and verbal communication, and time-management skills, with the ability to manage competing priorities accurately and professionally.

Preferred Qualifications

  • Prior experience supporting VP or higher-level executives in a large, matrixed organization.
  • Experience in healthcare, pharmacy, insurance, or another highly regulated industry; familiarity with pharmaceutical trade, manufacturer relations, or supply chain functions a plus.
  • Experience with Concur Travel & Expense or similar enterprise expense management tools.
  • Strong project coordination skills and comfort operating with ambiguity.
  • Excellent interpersonal skills, with a professional phone manner and in-person presence.
  • Demonstrated ability to take thorough notes and translate discussions into actionable next steps.
  • Strong judgment in understanding priorities and modifying meeting schedules and content as needed.
  • Proven ability to work autonomously while also collaborating effectively with others.
  • Flexibility to accommodate occasional additional hours as business demands require, and to travel up to 10% as needed.

Education

Bachelor's degree or equivalent work experience (4+ years of relevant experience plus high school diploma or GED).

Anticipated Weekly Hours: 40

Time Type: Full time

Pay Range: $22.59 - $58.85

This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
