We're looking for a Brand & Operations Coordinator who brings creativity and structure to the same role, someone who can craft a caption that stops the scroll in the morning and organize a closing timeline without missing a beat in the afternoon.

Responsibilities:

What You'll Own

Brand Presence & Content

  • Own the day-to-day content calendar across Instagram, Facebook, TikTok, and YouTube, and other key platforms, planning, creating, scheduling, and monitoring with intention
  • Write on-brand captions, story copy, email newsletters, and community-focused posts that reflect the Sold by Vadie voice: professional, warm, motivational, and community-driven
  • Design graphics and short-form video content using tools like Canva and CapCut
  • Engage with our online community, responding to comments and DMs promptly and in a way that extends the brand, not just answers a question
  • Track content performance metrics and bring data-informed ideas to the table regularly
  • Stay ahead of trending audio, formats, and content strategies relevant to real estate and the Chicago market


Operations & Business Support

  • Manage the broker's calendar with precision scheduling client consultations, agent meetings, showings, and key deadlines
  • Keep digital files, transaction documents, and client records organized, current, and confidential
  • Maintain CRM accuracy through consistent data entry, lead tracking, and follow-up sequencing
  • Draft polished professional correspondence emails, letters, and templates on behalf of the brokerage
  • Coordinate communication between clients, agents, vendors, and transaction coordinators to keep every deal moving
  • Support agent onboarding, compliance tracking, and day-to-day operational needs as the business grows
  • Anticipate what's needed before being asked and take initiative to keep the business running at its best
