Maintenance Coordinator

This position is hybrid working from our Legacy West Support Center located in Plano Texas.

About the role

This is a hybrid position working from our Legacy West Support Center in Plano, Texas.

  • Responsibilities for this position include partnering with 3rd party call center resources regarding stores repair service requests, assigning dispatch priority based on overall criticality and SLA guidelines. Responsible for the coordination and development of working budgets as well as reconciliation of both expense and capital budgets vs. spend on a monthly basis. Evaluation of repair trends, identifying root cause, developing scope of work for frequent fleet wide preventative maintenance inspections, designed to reduce reactive failure and increase usable lifespan.
  • Responsible for aligning with internal stakeholders and partners in the development of timelines, work scope and budgets regarding remodel and special project rollout programs. Manage development of contractor base, project scope of work and working schedule, communicating information throughout the internal and 3rd party organization. Completes daily updates on ongoing projects, utilizing smartsheet project management portal to communicate information throughout the organization.

Responsibilities

  • 20% Align with maintenance call center operations in categorizing store initiated service requests based on criticality, assigning priority code which corresponds to the timelines specified in the maintenance response / repair matrix.
  • 20% Update and coordinate working budgets, ensuring monthly spend falls within funding levels, developing reporting, broadcasting data throughout the dept.
  • 20% Partner with Director regarding remodel and rollout special projects, aligning with internal stakeholders in the development of work scope, budget and timelines. Coordinating contractor activities, providing frequent project updates ensuring completion on time and within finding levels.
  • 20% Identify multiple failures of specific equipment, identifying equipment beyond useful life, initiating process of capital replacement. As part of capital replacement process, identify store sales and contribution data as well as current lease terms and options available. Also, research potential remodel or upgrade work scheduled for this location prior to recommending capital project.
  • 10% Monitor schedule maintenance events, such as preventative maintenance, hazmat pick-up, and floor cleaning, ensuring all stores are completed within allocated timelines.
  • 10% Provide weekly data reporting regarding major maintenance categories. Report on open service requests, by category and priority, weekly updates on aging of submitted requests, ensuring dispatch timelines are aligned with SLA requirements.

Knowledge, skills & abilities requirement

  • High School graduate, college education preferred

  • Prior multi-site retail maintenance or construction experience highly desirable.

  • Strong mechanical skill set, basic understanding of commercial building equipment and applications

  • Experience working within 3rd party contractor network, call center technology, understanding operational data metrics

  • Experience in financial budget development highly desirable

  • Multitasking, and in managing and executing large and small-scale remodel and rollout special projects, working within designated timelines and budgets

  • Excellent PC, Microsoft Excel skills

  • Possess ability to analyze, and understand basic equipment mechanics, establishing root cause and executing resolution in a timely manner
  • Must be a self-starter who can work well within various situations (from well-defined to unstructured) and proactively identify business improvement areas

 Working conditions & physical requirements

  • The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lighted, heated, and ventilated.
  • The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, files, books, small parts; using a keyboard, driving an automobile, etc. No special physical demands are required to perform the work.
