Operations & Client Support • Remote • Part-Time (Contract)

Timeless is a Minneapolis historic-restoration and remodeling company. We do work that lasts — rot repair to full renovations, period-correct detail, additions that look like they were always there. We bring big-firm quality and real care to every client, and we run on honesty, integrity, and hard work.

We're looking for a sharp, low-maintenance Virtual Assistant to own the administrative engine behind our operations — the follow-ups, the file-keeping, the CRM updates, the details that keep clients well-served and our team focused on the build.

What you'll own

  • Client follow-up emails, meeting agendas, and call-notes filing — fast and accurate.
  • Keeping our CRM (HubSpot) current within 24 hours of every client touchpoint.
  • New client and project setup in our systems within 48 hours of a confirmed job.
  • Answering routine accounting questions from a reference doc, and tracking subcontractor paperwork.
  • Closing your own loops — deliverables arrive on time, confirmed, with early notice if anything slips.

Who you are

  • Organized to a fault. You run a real system for tracking tasks — and you can show us how it works.
  • Self-directed. You know what to act on and what to wait for without being chased.
  • Detail-obsessed. You catch the small gaps before they become big problems.
  • A clear, professional writer. Comfortable in Gmail, a CRM, and Google Drive.

The details

  • Type: Contract, part-time to start (estimated 15–25 hrs/week), with room to grow.
  • Location: Remote.
  • Process: Written screening questions, then a short paid trial task ($50, 90 minutes), then an interview. We pay for your time on the trial.
