Job description

POSITION SUMMARY

The Purchasing Data Entry Clerk supports the Purchasing Department through clerical, administrative, and operational tasks. This position performs data entry for multiple purchasing applications and/or processing of invoices, vender quotes and inventory receivers. The role requires professionalism, courtesy and accuracy in dealing with the public, vendors and staff. After an initial training period, the employee works independently on recurring duties under direct supervision, with performance evaluated on efficiency, accuracy and timelines.


EDUCATION
  • High School Diploma or GED required
  • Some College coursework in Business Administration, Accounting, Purchasing, or a related field preferred.
  • Training in Microsoft Windows and database management is preferred.


CERTIFICATION

  • Texas Certified Public Purchasing Buyer (CPPB), Certified Professional Public Buyer (CPPB), or related purchasing certification preferred but NOT required.
  • Must possess a valid Texas Driver License


EXPERIENCE
  • Minimum 2 Years experience in data entry
  • Minimum 2 Years experience in an office environment with customer service responsibilities
  • Experience in clerical/accounting duties requiring independent judgment.
  • Proficiency with Microsoft Word, Excel, Outlook and general office machines.
  • Working experience in Customer Service and dealing with the public.

REQUIRED SKILLS
  • Typing proficiency: 30-40 wpm
  • Strong analytical, organizational and interpersonal skills.
  • Strong multitasking and time management abilities.
  • Ability to perform accurate mathematical computations and balance records.
  • Ability to develop and improve practices for greater productivity.
  • Ability to read plans, maps, blueprints and use measuring tools.
  • Ability to work accurately under high volume and stressful situations.
  • Ability to communicate clearly in English: bilingual (English/Spanish) preferred.
  • Ability to establish and maintain effective working relationships with staff, vendors and public.
  • General knowledge of occupational hazards and safety precautions related to duties.
