POSITION SUMMARY
The Operations Supervisor is responsible for supporting the day-to-day business operations of clinical locations in collaboration with the Clinical Manager.
ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES
- The Operations Supervisor is responsible for supporting daily clinical operations, focusing primarily on efficient patient rooming, administrative support, and delivering high-quality care.
- Room patients efficiently, accurately taking vital signs, reviewing clinical histories, and verifying medication/allergy lists.
- Maintain accurate and detailed patient records in the EMR, assist with scheduling, and manage patient paperwork.
- Prepare exam rooms and assist providers with patient examinations, procedures, and routine care in an outpatient setting.
- Support clinic staff by ensuring patient flow remains consistent, restocking supplies, and coordinating with front-desk staff to optimize patient care
- Perform phlebotomy (blood draws) and label samples for lab processing.
- Performs telephone triage by assessing patient symptoms and determining the appropriate level of care.
- Extract and deliver useful data and insight from business data in order to support operational improvements and business such as occurrence reports and chart audits.
- Attending to any issues or concerns that may arise with any staff members. Ensuring consistent communication of policies and procedures
- Proactively identify and implement solutions and/or strategies that will help the business better achieve its short and long-term business.
- Optimize administrative workflows, keep up to date with progress of administrative duties.
- Ensuring staff compliance with operational policies.
- Hiring, training, and ongoing education of staff members, organizing training materials and keeping up to date on policies and procedures.
- Implementing processes to reduce costs. Inventory control and oversight, including ordering supplies, including medication reconciliation audits.
- Develop and research methods for measuring various areas of business performance and compare against trends.
- Assist in the development and oversight of clinic budget. Prepare financial models and forecasting.
- Review, identify, analyze, and create detailed documentation of business process and support.
- Communication with staff on changes in policy, procedures, or guidelines
- May lead special projects.
- Other duties as assigned in support of the UTP and UTHealth’s success and overall organizational mission.
REQUIRED QUALIFICATIONS
- License and/or Certification: Licensed Practical Nurse, Basic Life Support Certificate from the American Heart Association
- Education: Associates degree in applicable field
- Years of Experience:
- 2+ years of operations leadership experience in a healthcare setting
- Skills:
- Demonstrate interpersonal skills to work with staff members, patients, providers, and other leaders.
- High degree of professionalism and strong work ethic
- MS Office Proficiency
- Excellent judgement and discretion required in handling highly sensitive, privileged, and confidential information in a respectful manner and in accordance with HIPPA
PREFERRED QUALIFICATIONS
- Education: Bachelor’s or Master’s degree
- License and/or Certification: RMA, CMA, or CCMA
- Years of Experience:
- 5 + years Operational Leadership experience in a healthcare setting
