Era Living is seeking a Business Office Director to join our team at our Ida Culver House Broadview, a beautiful retirement community in North Seattle, WA. This key role holds 24-hour supervision of our front desk staff, is responsible for billing, accounts receivable, and accounts payable. The Business Office Director will be part of a collaborative leadership team responsible for ensuring high-quality resident services and regulatory compliance while fostering a vibrant work environment. Available shifts will be scheduled Monday - Friday with rotating on-call weekends and occasional weekend work.

Essential Duties & Responsibilities:
  • Billing and Accounts Receivable: Post cash receipts batches for residents, ancillary billing charges and credits accurately and timely into the A/R system, prepare deposit and transport to bank, collect and maintain supporting documentation for all Independent Living and Assisted Living Contracted and Fee for Service charges billed on resident statements, process all move-in/move-out activity transferring billing and generating any related correspondence, print monthly resident statements and coordinate distribution in accordance with established deadlines, respond effectively to all resident/family billing questions, and maintain current and closed resident files, A/P and A/R filing systems.
  • Accounts Payable: Match purchase orders, packing slips and other documentation with associated invoices, ensure proper authorization levels for expenditures as defined in The Purchasing Guide, match prices to purchase orders, and forward incomplete or non-matching paperwork to responsible employees for correction, track vendor contracts and assists with contract revisions, submit properly coded and approved invoices for processing.
  • Leadership of Front Desk Staff: Hire, train, and directly manage a team of ~15 front desk staff. Support team in providing excellent customer service and responding to emergencies. Ensure 24x7 coverage of front desk, which may include periodically working shifts at the front desk.
    Knowledge, Skills, and Abilities:
  • Strong customer service skills and ability to use good interpersonal skills when interacting with residents, family members, visitors, vendors, and co-workers
  • Ability to remain calm under stress
  • Ability to use excellent time management skills, including planning and prioritizing work
  • Ability to work under minimal supervision
  • Ability to manage and complete multiple tasks with attention to detail
  • Ability to be creative and flexible in executing multi-faceted problem solving
  • Ability to use word processing software, spreadsheet software, accounting software, e-mail and the Internet
  • Knowledge of accounting terms, principles and processes
  • Data entry and accuracy skills; operation of 10 key by touch
  • Ability to perform manual calculations
  • Ability to read, write and communicate in English
  • Ability to pass DSHS background check, required

Education and Experience:
  • Two year Associate Degree and/or three years or more years' experience in office management; including bookkeeping, required
  • Supervisory experience, preferred
  • Experience with timekeeping systems and basic HR functions, preferred
