Job Description: OTR Breakdown Coordinator

Department: Fleet Maintenance Job Status: Full-Time Reports to: Shift Supervisor

POSITION SUMMARY

As a team member in the Fleet Maintenance, you will serve as the first line of defense for drivers experiencing breakdowns while over the road (OTR). The OTR Breakdown Coordinator plays a critical role in minimizing downtime, controlling repair costs, and supporting operation efficiency.


This position requires strong technical aptitude, attention to detail, and the ability to perform in a high-energy, fast-paced environment. You will troubleshoot mechanical issues over the phone, coordinate repairs, negotiate with vendors, and communicate real-time updates to Operations to keep freight moving efficiently.


ESSENTIAL DUTIES and RESPONSIBILITIES

  • Field inbound calls from drivers experiencing mechanical breakdowns while over the road.
  • Access mechanical issues to determine whether a roadside repair is necessary or if the unit can safely continue to an authorized repair facility.
  • Provide troubleshooting guidance over the phone to minimize downtime and unnecessary road calls
  • Locate and route drivers to approved repair vendors and coordinate roadside service when required.
  • Negotiate repair timelines and costs to ensure efficient and cost-effective solutions.
  • Provide real-time updates to Operations regarding service interruptions so load planning can be adjusted immediately.
  • Review vehicle history during breakdown events to identify warrantable repairs and file claims with OEMs to recover costs.
  • Maintain accurate documentation of breakdown events, downtime, vendor interactions, and repair expenses within the maintenance systems.

EDUCATION:

High School Diploma or GED required.


EXPERIENCE:

Technical school certification or previous experience with diesel engine components and/or trailers is strongly preferred. The ideal candidate will demonstrate strong mechanical aptitude and the ability to effectively troubleshoot and problem solve in real time. This role requires the ability to make quick, sound, and cost-effective decisions in a high-pressure environment. Strong verbal and written communication skills are essential, including the ability to de-escalate stressed drivers and negotiate effectively with vendors. Candidates must be able to work independently while communicating professionally and respectfully across all levels of the organization.


SUPERVISORY RESPONSIBILITIES:

None


COMPUTER SKILLS

Proficiency in Microsoft programs such as Word, Excel, and Outlook email required, along with the ability to accurately type and document information while actively handling phone calls. Experience with maintenance software is preferred. Knowledge of TMW software is a plus. Candidates must also demonstrate the ability to quickly learn and adapt to new programs and systems as necessary.


OTHER REQUIREMENTS:

Solid work history and willingness to successfully function in a team environment.


WORK ENVIRONMENT:

This is an office position. However, if you enter any other area of the operation you will need to follow all correct and proper PPE requirements set for entering said area such as dock or yard. PPE requirements can be but not limited to, wearing a reflective vest, shirt, or jacket, and steel toe shoes or shoe coverings.
